Requirements
  • Experience in IT service coordination, managed service provider operations, or technical administrative support.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.

Responsibilities
  • Serve as the primary contact for incoming calls to the main line queue, screening and directing calls to the appropriate department or individual.
  • Oversee call routing options and collaborate with management to improve inbound call processes.
  • Act as the first point of contact for incoming help desk calls.
  • Create, update, assign, escalate, and monitor IT support tickets, maintaining accurate categorization, prioritization, progress updates, and detailed notes.
  • Process RMA requests and update product and service information in ConnectWise.
  • Register deals in partner portals for pricing and add Microsoft 365 and Google subscriptions under tenant accounts.
  • Create new prospects, clients, vendors, and products in ConnectWise.
  • Prepare IT equipment and software quotes based on engineering recommendations.
  • Source pricing from distributors or preferred vendors and place orders.
  • Track hardware deliveries and update purchase orders in ConnectWise.
  • Establish and maintain relationships with IT vendors and partners, including reseller agreements and partnerships.
  • Manage internal and client IT assets using Asset Panda and conduct regular inventory audits.
  • Review completed statements of work for accuracy before quoting and obtain pricing for required hardware and software.
  • Create opportunities and initiate quotes in ConnectWise Sell.
  • Upload finalized statements of work to SharePoint, update related tickets, and notify assigned resources.
  • Send quotes for client electronic signatures upon request.
  • Assist with client onboarding and offboarding, including account setup and removal, subscription transfers, and procurement.
  • Update assigned tickets throughout the project lifecycle.
  • Maintain office supplies and employee apparel inventory and order supplies as needed.
  • Book employee travel arrangements.
  • Receive deliveries and manage company vehicle maintenance and insurance.
  • Obtain Certificates of Insurance for clients upon request.
  • Create and update Standard Operating Procedures and lead twice-yearly reviews.
  • Coordinate appointments and tasks for property management.
  • Provide administrative assistance to the Chief Executive Officer and President.
  • Invoice customers monthly using ConnectWise and Wisesync.
  • Assist in managing internal and external subscriptions, billing email, receipt management, and Ramp card administration.
Desired Qualifications
  • Experience with IT procurement and vendor management.
  • Familiarity with managed service provider partner portals such as 8x8 and Sophos.
  • Knowledge of asset management systems such as Asset Panda.
