Requirements
  • An associate degree or equivalent education and experience, plus two years of clinical experience and previous lead or supervisory experience.
  • One year of supervisory experience in a health care, academic, or research environment.
  • One year of care coordination support experience in a high-volume medical practice clinical setting with direct contact with a culturally diverse patient population, including lead work experience or demonstrated ability to lead teams.
  • Knowledge and experience of customer relationship management concepts.
  • Knowledge of the academic and/or healthcare environment.
  • Excellent written and verbal communication, organizational, and time management skills, with a customer service orientation and ability to work as a team member.
  • Ability to work independently, prioritize and manage workload, and appropriately delegate and coordinate the workload of Medical Assistant staff.
  • Flexible, calm, non-judgmental, professional demeanor, with strong patient, peer, and physician communication skills.
  • Skill in giving and receiving feedback, with patience and ability to teach and train staff at various learning levels and styles.
  • Proficiency in OHSU computer applications.
  • Working knowledge of medical terminology.
  • Knowledge of managed care, commercial, Medicare, and Medicaid programs.
  • Strong relationship-building skills with patients, providers, staff, management, and outside collaborators.
  • Exceptional customer service skills.
Responsibilities
  • Provide high-quality customer service and prompt, professional written and verbal communication to patients, referring providers, insurance carriers, and internal healthcare staff.
  • Lead multidisciplinary process-improvement efforts focused on patient-care communication and clinical operations.
  • Perform care coordination support duties, including records retrieval, prior authorization processing, scheduling requests, and team communication.
  • Lead daily DMS huddles, weekly performance-improvement rounds, monthly Care Management and Coordination meetings, and process-improvement events.
  • Collaborate with clinic and infusion leadership to improve patient flow and communication throughout the Knight Cancer clinics and Infusion Center.
  • Interview and hire care coordination support staff, train new employees, and arrange sponsored training.
  • Develop staffing plans for Care Management and Coordination support staff.
  • Conduct one-on-one meetings with direct reports, including coaching, counseling, mentoring, and professional development.
  • Monitor training completion and demonstration of core competencies.
  • Supervise approximately 22 Team Coordinator and Care Coordinator staff and provide daily problem-solving guidance.
  • Assign and approve business-related work and investigate operational problems.
  • Evaluate work performance, initiate performance appraisals, counsel employees, develop work plans, participate in discipline, and communicate performance expectations and policies.
  • Coordinate personnel work schedules and time-away schedules and arrange coverage for absent staff.
  • Audit standard work and provide timely coaching and constructive feedback.
  • Create and implement clinic-operation policies and procedures.
  • Create staff schedules and monitor staffing levels based on patient acuity, staff competencies, and patient volume.
  • Serve as an escalation liaison for patients, staff, and providers.
  • Maintain and update the Master Care Management and Coordination Resource Grid and Schedule Grid.
  • Maintain the physical environment and equipment needed for effective operations.
  • Facilitate repairs, renovations, replacements, purchases, and modifications of the clinical work environment and equipment.
  • Ensure work practices meet health, fire, safety, regulatory, DNV, and Health Insurance Portability and Accountability Act requirements.
  • Investigate patient concerns, complaints, and process or standard-work deviations and develop corrective action plans.
  • Maintain accurate provider templates and listings of available clinical services.
  • Monitor service-excellence metrics and respond to satisfaction-survey data.
  • Understand the Knight Cancer Clinic financial budget and goals, review staffing and overtime, participate in the annual budget process, provide budget recommendations, and ensure correct labor distribution for supervised staff.
  • Participate in talent-pool hiring, assigned meetings, OHSU leadership meetings, and administrative duties supporting clinical and operational flow.
  • Adjust the work schedule based on department needs, including early or late meetings and weekend work as needed.
  • Traverse campus locations and assist with patient transportation as needed.
Desired Qualifications
  • A bachelor's degree in a health science field.
  • Two or more years of supervisory experience in a health care, academic, or research environment.
  • Two or more years of care coordination support experience.
  • Experience with an electronic medical record system, preferably Epic.
  • Bilingual fluency in Spanish, Russian, Vietnamese, Mandarin or Cantonese, Arabic, or American Sign Language, subject to a language proficiency examination.
  • Formal customer service, conflict-management, or communication training.
  • Knowledge of OHSU business policies and procedures.
  • Experience with OHSU systems, appointment scheduling, authorizations, referrals, and surgery scheduling, along with ability to meet deadlines and respond to urgent patient and system needs.
