Responsibilities
  • Facilitate prompt resolution of problems related to pre- and post-care arising in daily clinical operations.
  • Perform general administrative and receptionist functions, including answering incoming calls, managing patients, and acquiring necessary patient care materials and records.
  • Manage expectations surrounding pre- and post-patient care.
  • Obtain and review patient demographic information, insurance information, and referral numbers.
  • Review clinical records for completeness, including authorizations, signatures, missing data, and other patient information.
  • Answer, triage, and follow through on departmental telephone calls, questions, messages, and information requests using UChart and appropriate software.
  • Greet visitors and callers, handle inquiries, and direct them to appropriate employees.
  • Work cooperatively with employees to solve problems and improve the efficient flow of the practice.
  • Provide coverage for coworkers when assigned or as needed.
  • Develop and promote effective communication methods with physicians, managers, peers, trainees, and staff.
  • Obtain pre-authorization for oral medications, diagnostic examinations, and patient procedures under nurse or physician supervision.
  • Coordinate medical necessity letters and other documents for patient assistance programs.
  • Communicate with internal and external facilities to confirm receipt of patient orders and prescriptions, including referrals, diagnostic tests, medications, and durable medical equipment.
  • Coordinate physician schedules and outpatient clinics.
  • Coordinate and supervise appointments for VIP and international patients.
  • Record and maintain patient data and files in BOX for future new-patient appointments, including documents received by fax and mail.
  • Scan outside medical records and documents into UChart for follow-up appointments.
  • Acquire medical records, x-rays, and other materials needed for patient visits.
  • Communicate with patients regarding schedule delays.
  • Respond to medical-record inquiries in person, by fax, by telephone, and through the medical-records email account.
  • Proactively work physician clinical schedules to maximize time and manage capacity.
  • Monitor access to new appointments and manage appointment waiting lists.
  • Manage the UChart InBasket for the assigned division.
  • Maintain confidentiality of all information and safeguard University assets.
