Requirements
  • Sufficient proficiency in medical terminology to identify and explain medical procedures to patients, third-party payers, and facility personnel.
  • Knowledge of CPT/CDT and current ICD coding standards, including ICD-10.
  • Sufficient knowledge of insurance plans to interpret patient financial information and assess the need for prior authorizations and referrals.
  • Thorough understanding of general medical office procedures and protocols, including familiarity with substance abuse treatment environments.
  • Adherence to patient confidentiality standards under HIPAA and release-of-information protocols; ability to file accurately using numerical and alphabetical systems.
  • Proficiency with standard office hardware, including computers, copiers, and fax machines, and software applications.
  • Excellent oral and written communication skills and professional telephone etiquette.
  • Ability to interact positively and professionally with the general public, staff, and clients.
  • Ability to manage multiple priorities and work effectively under pressure in a busy clinical environment.
  • High school diploma or GED required.
  • One to two years of experience working in a fast-paced medical office, clinic, or hospital setting required.
  • Ability to use office equipment and perform prolonged sitting, standing, and walking, and lift and carry supplies up to 20 pounds.
Responsibilities
  • Answer phones professionally, greet patients upon arrival, and confirm appointment times as the first point of contact.
  • Direct patients to appropriate clinical areas and monitor the waiting room to maintain safety and cleanliness.
  • Explain walk-in and appointment procedures to prospective patients, referral sources, and the general public.
  • Open and sort incoming mail and retrieve medical records for telephone inquiries as needed.
  • Schedule new and return patient appointments based on physician or student doctor availability and medical specialty protocols.
  • Obtain, verify, and record patient demographic and insurance information required by the appointment system.
  • Verify financial eligibility for scheduled patients and obtain required authorizations based on insurance requirements.
  • Perform scheduling maintenance, coordinate referral appointments, and confirm appointments 48 hours in advance.
  • Collect point-of-service payments, including co-payments, deductibles, non-covered services, and self-pay balances.
  • Receive and process payments according to cash management policy and balance the cash drawer at the end of each shift or day using the daily balancing proof sheet.
