Requirements

  • At least 5 years of related experience is required.

  • Ability to monitor financial transactions is required.
  • Strong organizational and interpersonal skills are required.
Responsibilities
  • Serve as a primary point of contact for the Dean of Students Office and interact with students, families, faculty, staff, and other constituents.
  • Respond to and triage inquiries by phone, email, and in person; assess requests and connect individuals with appropriate resources.
  • Provide information about office and university policies, procedures, resources, and services.
  • Research and help resolve routine questions and concerns, escalating urgent or sensitive matters according to established protocols.
  • Handle sensitive and confidential information and communications with discretion.
  • Communicate on behalf of the Dean of Students Office and its leadership as appropriate.
  • Coordinate meetings by scheduling them, preparing and distributing agendas and materials, and documenting decisions and action items.
  • Assist with recruitment, hiring, onboarding, training, scheduling, and day-to-day supervision of graduate interns, student employees, and temporary staff.
  • Track project timelines, deliverables, and action items and follow up with project or committee members.
  • Organize and maintain committee, project, and shared-resource information.
  • Gather data, conduct research, organize information, and prepare reports, tables, and summaries.
  • Create and maintain spreadsheets, databases, tracking tools, files, records, and shared resources.
  • Provide administrative support for purchasing, expense reconciliation, invoice processing, reimbursements, and other financial transactions.
  • Manage expense and receipt reconciliation for members of the Dean of Students Office leadership team.
  • Review, organize, track, and reconcile high-volume transactions and obtain missing receipts or supporting documentation.
  • Review financial transactions for completeness and accuracy and resolve discrepancies.
  • Monitor purchasing, reimbursements, invoices, and other financial transactions.
  • Maintain financial records in accordance with university policies and recordkeeping requirements.
  • Work with finance, procurement, and administrative partners to resolve routine financial issues.
  • Track departmental expenditures and prepare financial summaries or reports.
  • Coordinate the planning, logistics, execution, and closeout of departmental meetings, programs, and special events.
  • Coordinate event needs including timelines, locations, room configurations, technology, catering, materials, and accessibility.
  • Reserve event spaces and liaise with university departments and external vendors.
  • Coordinate room setup and breakdown, furniture and equipment, catering, audiovisual support, signage, materials, and supplies.
  • Develop and maintain event timelines, checklists, reservations, orders, and logistical documentation.
  • Coordinate arrangements for speakers, presenters, and guests, including scheduling, communications, travel, accommodations, and payments as applicable.
  • Coordinate event communications and calendar invitations.
  • Serve as the on-site logistical contact for assigned events and troubleshoot operational issues.
  • Provide on-site support during assigned events.
  • Oversee post-event breakdown and closeout of assigned events.
  • Process and track event-related expenses, invoices, payments, and administrative follow-up.
  • Support departmental processes and workflows, including forms, submissions, university-system data entry, and administrative case components in Maxient and other systems.
  • Provide administrative and operational support for departmental projects, programs, initiatives, and working groups.
  • Coordinate project and program logistics, timelines, and action items.
  • Organize and maintain project- and program-related information, data, documentation, and shared resources.
  • Assist with testing, implementing, and maintaining administrative processes, systems, and workflows.
  • Provide flexible administrative support for changing departmental priorities and operational needs.
  • Perform other duties as needed.
