Requirements
  • At least 5 years of management experience in a high-volume or fast-growth environment.
  • Ability to lead and develop teams while managing competing operational priorities.
  • Ability to read a profit-and-loss statement, manage a budget, and connect operational decisions to business outcomes.
  • Proficiency with electronic medical record or practice management platforms.
  • Strong analytical skills for interpreting operational metrics and translating them into action plans.
  • Weekend availability on Saturdays and/or Sundays as required.
  • Ability to sit or stand intermittently for an 8- to 12-hour shift.
  • Ability to push, pull, or lift up to 25 pounds.
Responsibilities
  • Oversee the practice’s day-to-day clinical and administrative operations.
  • Maintain legal and accreditation compliance with applicable federal, state, and local regulations, including AAAHC, JCAHO, and AAAASF standards.
  • Manage scheduling across providers, rooms, and staff, resolving conflicts and ensuring schedules reflect actual capacity.
  • Develop and manage practice values, policies, and procedures.
  • Support patient safety, quality improvement, infection control, and environmental standards.
  • Oversee inventory management and purchasing for clinical and non-clinical supplies.
  • Provide operational oversight of clinical workflows to ensure patient safety, regulatory compliance, and adherence to clinical protocols.
  • Monitor and manage location-level key performance indicators, including case volume, revenue, labor utilization, and operational expenses.
  • Drive adoption and compliance of the Aesthetics Management System and identify workflow improvements.
  • Directly lead and develop front desk coordinators and administrative staff, while partnering with nursing leadership on clinical team matters.
  • Address retention risks and employee relations issues in partnership with Human Resources.
  • Lead onboarding and ongoing training for staff on Aesthetics Pro workflows, practice protocols, and company standards.
  • Conduct one-on-ones, performance check-ins, and annual reviews for direct reports.
  • Own the patient experience from first contact through post-procedure follow-up.
  • Resolve escalated patient concerns.
  • Oversee before-and-after photo documentation workflows.
  • Partner with clinical leads to identify and close patient-experience gaps.
  • Manage the location-level budget for labor, supplies, and operational expenditures.
  • Review and approve timekeeping, schedule adjustments, and paid time off for direct reports.
  • Ensure Aesthetics Pro documentation is complete before case closure to support billing accuracy.
  • Prepare and present location performance updates at Director of Operations cadence calls.
  • Perform additional duties and ad hoc projects as assigned.
Desired Qualifications
  • Experience in luxury retail, plastic surgery, or medical spa environments.
  • Experience with Aesthetics Pro or similar systems.
  • Experience supporting electronic medical record or technology platform rollouts.
  • Background in Health Insurance Portability and Accountability Act compliance and healthcare documentation standards.
  • Bilingual proficiency in English and Spanish.
