Responsibilities
  • Ensure all services necessary for the full and effective operation of the properties comply with lease provisions and agreements with the Management Surveyor.
  • Prepare, monitor, and reconcile service charge budgets with the Management Surveyor in accordance with the RICS Code of Practice.
  • Engage regularly with occupiers, keeping them informed of building works and services, and maintain tenant contacts, key-holder, and fire-safety-responsible-person lists.
  • Deliver excellent customer service to occupiers and clients.
  • Use REFIM software to record and complete actions and regularly inspect buildings, including common parts, within the agreed areas of responsibility.
  • Manage fault reporting and service-desk interactions daily.
  • Review contractor service-level agreement and key-performance-indicator results monthly and provide feedback to the Regional Facilities Management lead.
  • Raise and supervise insurance claims with the Management Surveyor.
  • Assist with site-specific reporting as required by Management Surveyors.
  • Attend client meetings as required.
  • Monitor energy and water consumption and promote sustainable property operation.
  • Liaise with local authorities, local organisations, businesses, and associations as necessary for successful building operation.
  • Participate as a member of the wider facilities management team by sharing knowledge and experience and providing information to colleagues.
  • Attend supplier review meetings and own contract performance.
  • Inspect site records, method statements, and contracts regularly.
  • Monitor contractor performance, attendance, cost, and value through service-level agreements and key-performance indicators.
  • Assist with benchmarking contract value and suitability.
  • Maintain safety records, statutory inspections, reports, and documentation for assigned properties.
  • Ensure annual health and safety risk assessments are undertaken.
  • Ensure asbestos registers and management plans are produced and hazards are appropriately managed.
  • Maintain or oversee fire risk assessments or audits, Legionella assessments, on-site logbooks, fire-safety records, water-hygiene records, permit-to-work records, mechanical and electrical maintenance records, and cleaning reports and method statements.
  • Report unsafe acts and defects to Facilities Management.
  • Check and witness weekly fire-alarm, emergency-light, and sprinkler-valve tests, evacuation drills, and other fire precautions on a rotational basis.
  • Review electricity and gas consumption with the energy consultant and in line with the environmental policy.
  • Regularly audit properties and develop plans for building enhancements, security measures, and energy-saving initiatives.
  • Arrange, with senior management teams and clients, external-adviser ten-year plans for service-charge expenditure on plant and structure.
  • Determine priorities for building-services repairs, enhancements, and modifications with senior management teams.
  • Approve and monitor service-charge expenditure within authorised limits for applicable properties.
  • Assist in preparing service-charge budgets according to the budget calendar and monitor expenditure to keep it within the current-year budget.
  • Provide assistance or cover for other client buildings when necessary.
  • Perform other related duties as directed that are broadly consistent with the role.
