Responsibilities
  • Assist the department in managing expectations surrounding pre- and post-patient care.
  • Obtain or review patient demographic information, insurance information, and referral numbers.
  • Review clinical records for completeness, including authorization, signatures, missing data, and other patient information.
  • Answer multiple departmental telephones, triage incoming calls, respond to questions, direct calls, and document messages in the appropriate software.
  • Greet visitors and callers, handle their inquiries, and direct them to the appropriate employee according to their needs.
  • Work cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.
  • Provide coverage for co-workers’ responsibilities when assigned or as needed.
  • Develop and promote effective methods of communicating with physicians, managers, peers, trainees, and staff.
  • Maintain confidentiality of all information.
  • Adhere to University and unit-level policies and procedures and safeguard University assets.
  • Answer incoming telephone calls by the fourth ring.
  • Confirm appointments daily.
  • Call patients who miss appointments and reschedule them.
  • Work on disposition notes from the Workqueue to ensure return-to-clinic appointments are made.
  • Review schedules to confirm appointments are scheduled in the correct slot and preserve new-patient slots for new patients.
  • Reschedule patients affected by PLR clinic closures.
  • Respond to secure chat messages from providers, nurses, and clinic personnel.
  • Schedule patients for appointments with the listed physicians, advanced practice registered nurses, naturopathic doctor, and registered dietitians.
  • Add patients in the Bariatric Surgery journey to Exemplo and record visits, comments, and other progress information.
  • Verify insurance coverage for Bariatric Surgery and Nutrition services.
  • Schedule patients for surgery.
  • Coordinate and schedule anesthesia clearance, primary care provider visits, laboratory tests, upper gastrointestinal studies, and related requirements.
  • Monitor scheduled patients daily.
  • Work up and schedule patients from the AMB Bariatric Surgery and AMB Metabolic Workqueue referrals.
  • Work up customer relationship management requests.
  • Schedule patients from online appointment requests.
  • Meet with patients at their first surgeon visit to review the process, obtain signatures, and schedule future appointments.
  • Act as the liaison between patients, providers, and the clinical team, monitoring completion of required visits and workup before Bariatric Surgery.
  • Provide educational materials, answer patient questions and concerns, and provide ongoing support throughout the Bariatric Surgery journey.
  • Assist patients using CareCredit by entering information in the CareCredit site and coordinating with Patient Access for posting in Epic.
  • Submit all self-pay payments to the billing team for proper posting.
