  • An Associate’s degree or specialized training equivalent to satisfactory completion of two years of college education, with emphasis in office management, secretarial science, business, or a closely related field.
  • Must possess or be able to obtain Notary Public certification.
  • Must possess a valid state driver’s license.
  • Requires over two years and up to and including four years of experience.
  • Requires sedentary work involving walking or standing some of the time and exerting up to 10 pounds of force on a regular and recurring basis.
  • Requires routine keyboard operations and normal visual acuity, hearing, speaking abilities, and color perception.
Responsibilities
  • Coordinate, supervise, and support the administrative functions of the Emergency Services Department, including general office services, customer service, accounting, and budget preparation and control.
  • Assist the Director with administrative duties.
  • Evaluate office operations and make recommendations to maintain office productivity and efficiency.
  • Supervise subordinate clerical staff by scheduling, instructing, planning and assigning work, reviewing work, maintaining standards, coordinating activities, allocating personnel, addressing employee problems, and recommending discipline as appropriate.
  • Review subordinate work for completeness and accuracy, evaluate performance, recommend improvements, and provide training, advice, and assistance.
  • Provide administrative and secretarial support to senior staff, including scheduling meetings and appointments, compiling data for reports and studies, preparing reports and correspondence, and arranging travel and accommodations.
  • Prepare and maintain confidential employee files; monitor and record time and attendance; process and review payroll; and coordinate personnel issues with Human Resources.
  • Monitor annual and grant program budgets; process accounts payable and receivable; prepare billing invoices and bank deposits; reconcile accounts; and prepare financial records and reports.
  • Coordinate procurement of equipment and supplies and communicate with vendors to resolve billing discrepancies and expedite orders.
  • Monitor the hazardous materials program; plan and implement invoice mailings, fee collection, and permit preparation; and prepare related reports.
  • Process training requests for volunteer firefighters with the South Carolina Fire Academy.
  • Assist with emergency management training, exercises, and implementation as required.
  • Establish and maintain record-keeping systems.
  • Answer telephone calls, provide or route information, take messages, and greet and assist office visitors.
  • Maintain contact with field personnel and transmit information regarding assignments and emergency situations.
  • Perform routine clerical work, including preparing and typing reports and correspondence, copying and filing documents, sending and receiving faxes, entering and retrieving computer data, assembling materials, and processing daily mail.
  • Respond to inquiries, assistance requests, and concerns from County departments, agencies, organizations, professionals, and the public.
  • Attend staff, committee, and County meetings as required.
  • Attend training, meetings, seminars, and workshops to enhance job knowledge and skills.
