Requirements
  • At least 5 years of experience in payroll processing, benefits administration, or HRIS data entry.
  • A Bachelor of Arts or Bachelor of Science degree in Business Administration, Human Resources, Finance, or a related field, or equivalent experience.
  • Working knowledge of United States payroll fundamentals, including tax withholding, deductions, garnishments, and pay-period reconciliation.
  • Familiarity with COBRA notices, ACA eligibility tracking, and HIPAA data handling.
  • Proficiency in Excel or Google Sheets, including pivot tables, VLOOKUPs, and data validation.
  • Ability to manage multiple concurrent deadlines while maintaining accuracy and confidentiality with sensitive data.
  • Ability to manage systems and processes using Notion, Google Workspace, Claude, and Gemini.
Responsibilities
  • Own end-to-end semi-monthly payroll processing for more than 250 United States team members in UKG, including new hires, terminations, compensation changes, deductions, 401(k) contributions, and garnishments.
  • Apply pay policies to PTO accruals, disability pay, workers’ compensation, and tax-withholding exemptions.
  • Prepare payroll journal entries and supporting schedules for Finance during month-end close.
  • Prepare W-2 and 1095-C forms, complete year-end payroll reconciliation, and file quarterly payroll taxes.
  • Register new state withholding and unemployment accounts and resolve state and Internal Revenue Service tax notices.
  • Maintain accurate team-member records in UKG throughout the employee lifecycle and conduct routine data audits.
  • Follow system workflows and automation configurations and escalate integration breakdowns or anomalies.
  • Generate standard and ad hoc reports for People Services, Finance, and leadership while following data-security protocols, including HIPAA and applicable state privacy requirements.
  • Set up new hires in UKG, including profiles, tax withholding, direct deposit, and benefit deductions, and verify the setup before the first pay cycle.
  • Partner with the Workplace Experience Manager on onboarding and serve as the payroll and benefits point of contact during new-hire orientation.
  • Follow up on missing I-9 forms, tax forms, benefit elections, and direct-deposit authorizations.
  • Administer health plans, 401(k) plans, and the wellness program, including enrollment processing, qualifying life events, terminations, and monthly invoice reconciliation.
  • Serve as the first point of contact for benefits questions and claims navigation, escalate complex issues, and coordinate with the benefits broker.
  • Own annual open enrollment, including system configuration, employee communications, and post-enrollment data audits.
  • Execute COBRA notices, ACA eligibility tracking, HIPAA-compliant enrollment-record maintenance, NDT, Form 5500 filings, 401(k) audits, and other annual compliance filings.
  • Maintain benefits and payroll status during leaves of absence, process approved leave-pay actions and benefit-deduction adjustments in UKG, and track leave dates in the HRIS.
  • Maintain organized, audit-ready records for payroll transactions, benefit enrollments, and team-member changes.
  • Support external audits with accurate data schedules and transaction documentation and participate in HRIS access reviews with IT and Security.
  • Stay current on payroll regulations and benefits-compliance requirements and surface relevant changes to the Senior Manager.
Desired Qualifications
  • Experience with UKG or a comparable payroll or HRIS platform.
  • Experience across the full employee lifecycle, from onboarding through offboarding.
  • Exposure to HR-system integrations, automated workflows, or HRIS configuration.
  • Experience supporting external audits or preparing financial-reconciliation schedules.
  • FPC certification or progress toward CPP certification.
  • Experience in a high-growth or scaling company environment.
