Requirements
  • A high school diploma is required.
  • At least 5 years of relevant administrative or operations experience is required, preferably in a healthcare setting.
  • Strong project management skills are required, including the ability to lead initiatives from concept through execution.
  • Experience managing budgets, contracts, and vendor relationships is required.
  • Proficiency in Workday, Microsoft Office Suite, PowerPoint, Word, Excel, Visio, data analysis tools such as Power BI, and project tracking systems such as Smartsheet is required.
  • Knowledge of operational management, organizational development, and financial operations and management is required.
  • The ability to create and maintain a cohesive and productive team environment, build positive working relationships, and collaborate with others is required.
  • Strong verbal and written communication skills are required.
  • The ability to manage change and ambiguity in a fast-paced environment is required.
  • The ability to complete multiple tasks efficiently and work effectively in a teamwork environment is required.
Responsibilities
  • Develop and align goals with UHealth’s strategic priorities, communicate them, and build consensus across stakeholders.
  • Provide regular updates to the Director of UHealth Operations on key initiatives, administrative assignments, and project progress.
  • Assist in setting strategic direction for key programs and facilitate implementation of health system initiatives on behalf of executive leadership.
  • Support long-term objectives that drive financial performance and operational excellence.
  • Lead high-impact administrative and special projects, including revenue-generating initiatives, ensuring timely execution and effective coordination.
  • Oversee complex administrative operations and support cross-functional team management across departments.
  • Serve as liaison between senior leadership and internal and external stakeholders, ensuring effective communication, follow-up, and alignment.
  • Manage and maintain senior leadership schedules, including complex meetings, meeting requests, commitments, and communications with participants and support staff.
  • Act as the primary point of contact for the UHealth Operations team and manage sensitive and confidential issues with discretion.
  • Participate in conferences, meetings, and other activities; prepare meeting materials and take minutes as requested.
  • Create and maintain documents, reports, and correspondence; manage scheduling, appointments, and operational communications.
  • Support engagement initiatives and operational events across UHealth locations.
  • Partner with facilities and procurement to address infrastructure needs, including vendor coordination and contract initiation.
  • Manage budgets for assigned teams or projects, ensuring accuracy, compliance, and responsible resource utilization.
  • Conduct research and benchmark best practices in healthcare operations and patient experience to inform strategic decisions.
  • Analyze data and develop visualizations that provide actionable insights supporting UHealth’s operational and strategic goals.
  • Ensure administrative operations run smoothly and efficiently.
  • Coordinate, plan, and direct services supporting department operations.
  • Plan and coordinate staff duties and analyze complex administrative concerns.
  • Develop and implement department processes.
  • Recruit and train office support staff.
  • Manage staff in the day-to-day performance of their jobs.
  • Ensure projects and department milestones and goals are met while adhering to approved budgets.
  • Purchase and maintain office equipment and supplies.
  • Track and analyze operational costs.
  • Coordinate delivery of office services with other departments.
  • Establish and continuously assess internal controls within the unit and ensure compliance with University policies and procedures.
  • Ensure employees are trained on controls and University policies and procedures.
Desired Qualifications
  • A bachelor's degree in Business Administration, Health Administration, or a related field is preferred.
