At the AI Robot Association (AIRoA), Corporate Services extends well beyond standard office administration. It encompasses the foundational backbone of our organization, including office operations, procurement, corporate governance (board and shareholder meetings), facility management, and executive support.

In this Lead/Manager position, you will consolidate these holistic operations around your core expertise, driving initiatives by understanding true stakeholder needs and evaluating what is essential. As an early-stage initiative without established templates, you will collaborate directly with executive leadership and cross-functional teams to design operational frameworks from scratch with significant autonomy.

主な業務内容

AIロボット協会（AIRoA）の総務（広義：総務部・法人運営・ファシリティ・購買・秘書 等）を束ねるリード／マネージャーとして、協会運営の土台づくりを担っていただきます。最初からすべてを担う必要はなく、ご自身の経験・専門性を発揮できる領域から入り、将来的に幅を広げていただく想定です。

【主な担当業務（例）】

1. オフィス環境の整備　※中心業務
2. 備品・資材等の調達／購買（ロボット関連の資材・デザイン等を含み、購買量が多いのが特徴）　※中心業務
3. 理事会・総会等の会議運営（現状は秘書部が主担当。広義の総務として関与）
4. 秘書・法人運営（理事・委員会対応、VIP・要人来訪の受け入れ対応 等）
5. 拠点・施設のファシリティ（設備運営・拠点構築、BCP・防災、ロボット搬入・安全管理、倉庫等の管理）
6. 情報管理（情報セキュリティ・安全／衛生管理 等）

　　　※担当領域はご自身の専門性により配置。経営・他部門と直接コミュニケーションし、一定数のディレクションを担います。

Position Overview

As a Lead / Manager overseeing General Affairs in a broad sense (including Corporate Operations, Governance, Facilities, Procurement, and Executive Support) at the AI Robot Association (AIRoA), you will be responsible for building the foundation of our association’s management. You are not expected to handle everything from day one; rather, you will start in areas that match your background and expertise, gradually expanding your scope over time.

Key Responsibilities (Examples):

1. Office Environment Management (Core Responsibility)
2. Procurement & Purchasing of Supplies and Equipment (Core Responsibility – Characterized by high-volume purchasing, including robot-related materials and design items)
3. Board and General Assembly Meeting Operations (Currently led by the Executive Assistance team; you will participate from a broader Corporate Operations perspective)
4. Executive Support & Corporate Governance (Handling board/committee communications, VIP visits, etc.)
5. Site & Facility Management (Managing facilities and site setups, BCP/disaster preparedness, robot delivery & safety control, warehouse management, etc.)
6. Information Management (Information security, health and safety management, etc.)

Note: Specific assignments will be tailored to your expertise. You will communicate directly with executive management and other departments while exercising leadership and direction across your domain.

• 総務（総務系の管理部門）での実務経験3年以上
• ピープルマネジメント経験1年以上
• 要求元の本質を掴み、「本当に必要か」を整理しながら物事を前に進められるコミュニケーション力・課題解決力（ポータブルスキル）
• ベンチャー／立ち上げフェーズの環境で、守備範囲を決めず自分で仕組みをつくっていけるマインド
• 自身の担当領域にとどまらず、協会全体の目的達成に視座を高く持って関われる方

Required Qualifications:

• 3+ years of practical experience in General Affairs or related administrative management functions

• 1+ year of people management experience
• Strong communication and problem-solving skills (portable skills) to identify the core intent behind requests, evaluate what is genuinely necessary, and drive initiatives forward
• A hands-on mindset suited for a startup or launch-phase environment, with a willingness to take ownership and build systems without restricting one's own scope
• The ability to maintain a high-level perspective beyond one's immediate domain and actively contribute to achieving the association's overall goals

Preferred Qualifications:

• Experience setting up and driving a broad range of administrative operations, such as serving as a "solo General Affairs" or "solo Back-Office" in a startup environment
• Experience in executive secretarial support and corporate governance (running Board of Directors / General Assembly meetings, supporting board members and committees, and hosting VIPs)
• Experience in facility management, site setup, equipment/BCP/disaster preparedness/safety control, and purchasing/procurement
• Experience managing secretarial or administrative operations at general incorporated associations, industry associations, or academic societies
• Cross-functional experience across multiple back-office domains beyond General Affairs, such as HR, labor, and accounting
• A genuine interest and enthusiasm for AI, robotics, and Deep Tech sectors
• Experience in process improvement and project management utilizing member management systems and SaaS tools

• 日本語（ネイティブレベル）
• 英語（歓迎／必須ではありません）：あれば尚可（海外企業・研究機関との連携等）。日常業務は日本語が中心です。

Language Skills

• Japanese: Native level
• English: Preferred / Optional (Useful for collaboration with overseas companies and research institutions). Daily operations are primarily conducted in Japanese.

We currently operate out of a spacious office and research facility of over 1,000 m² located in the Ryutsu Center area. In this space, our business teams and engineering teams work in close collaboration, advancing both day-to-day operations and R&D with AI robots always close at hand. The facility is frequently visited not only by members of the AI Robot Association, but also by engineers and researchers from partner companies and representatives from member companies. As a result, it serves as a hub where diverse experts at the forefront of AI and robotics gather and interact.
