Requirements
  • Four years of relevant experience organizing meetings and providing administrative assistance to teams
  • Consecutive employment in a position with comparable responsibilities within the past five years
  • Must be able to use a computer to communicate via email
  • Proficient in Microsoft Office Products (Word/Excel/PowerPoint) and related tools
  • U.S. Citizenship Required
  • Excellent oral and written communication skills
  • All ProSidian staff must be determined eligible for a “Facility Access Authorization” (Facility Access Authorization)
  • May be required to complete a Financial Disclosure Statement
  • Must be able to submit to varying levels of background investigative requirements, up to a Top Secret or Department of Energy "Q" clearance
  • Occasional travel may be required; Location: Work shall be conducted remotely during COVID-19 and Duty Station: 713 Jadwin Ave, Richland, WA 99352
  • Knowledge of website design and maintenance
  • Identification of any conflicts, potential conflicts, or perceived conflicts of interest with any Hanford Site contractors
Responsibilities
  • Establish and distribute all HAB meeting schedules, agendas, and work plans in consultation with the DOE HAB Coordinator(s) or their delegate, Washington State Department of Ecology and U.S. Environmental Protection Agency local representatives HAB Chairperson, and HAB Executive Issues Committee
  • Assist with responsibility for committee and board meeting agendas: ensure committee and Board agenda topics are included in the agenda in a timely manner and are acceptable to the three agencies prior to distribution; final, detailed agendas should be provided 10 days prior to HAB committee and full Board meetings
  • Maintain open, ongoing and effective communications with agency representatives, including the DOE Federal Coordinator(s), HAB leadership, members and issue managers
  • Develop and distribute the HAB Annual Report as requested by DOE Federal Coordinator; provide a digital copy to DOE
  • Assist with HAB/Public Involvement Survey by conducting the survey and provide survey results to the Federal Coordinator
  • Maintain a HAB library per FACA guidelines; organize and maintain the official Federal Advisory Committee Act information repository; ensure it is not a public information repository; subject to DOE inspection/records requirements
  • Monitor and assist in carrying out administrative procedures as developed by the Board, including attendance and conflict of interest policies, formulation and dissemination of policy advice and recommendations, and ground and operating rules; seek clarification with the DOE HAB Coordinator(s) and HAB leadership to avoid duplication with DOE staff
