Responsibilities
  • Communicate with existing and potential patients about the department's programs and services.
  • Coordinate executive physicals by working with patients to schedule appointments.
  • Coordinate international patient executive physicals with the International Department to schedule appointments.
  • Handle executive physical inquiries received through email by providing requested information.
  • Coordinate appointment scheduling within and outside the department as needed.
  • Document all patient interactions in the department log to ensure continuity of care.
  • Create itineraries and checklists for patient visits.
  • Coordinate patients' arrival times, appointment locations, and instructions.
  • Work cooperatively with colleagues, other departments, and leadership to solve problems and support efficient practice operations.
  • Assist with patient grievance, billing, and urgent specialty appointment escalations.
  • Assist the Executive Physicals Manager in developing workflows and assessing opportunities to improve efficiency.
  • Assist the Executive Physicals Manager in creating and updating standard operating procedures for executive physicals.
  • Communicate the department's role regularly to appropriate internal and external parties.
  • Troubleshoot time-sensitive issues and work independently or collaboratively under pressure.
  • Block provider schedules as needed to support efficient clinical workflow.
  • Run reports to track program statistics and provide updates to leadership as requested.
  • Assist the Executive Physicals Manager with market research and recommendations to leadership on program improvements.
  • Provide coverage for other Executive Physicals Coordinators as needed.
  • Communicate confidential information in compliance with regulatory guidelines, including HIPAA, and University policies.
  • Adapt to changing work demands and environments, anticipate potential problems, and assist leadership in developing contingency plans.
  • Adhere to University and unit-level policies and procedures and safeguard University assets.
