Requirements
  • A high school diploma or educational equivalent.
  • One year of experience working in an administrative support role performing receptionist or clerical duties, including phone handling, data entry, and scheduling, in an office or similar work environment, or a satisfactory combination of education, experience, and training.
  • Basic proficiency with Microsoft Office, specifically Word, Excel, and Outlook.
  • Excellent time management and organizational skills and the ability to prioritize tasks appropriately.
  • Ability to use and willingness to learn electronic systems and files to enter, locate, upload, and record information or documents, including Workday, Digital Agency, shared drives, and intranet systems.
  • Strong interpersonal and customer service skills, including the ability to accurately communicate and collect information verbally and in writing.
  • Willingness to take initiative and high attention to detail.
  • Ability to meet the essential physical demands of the position, including fingering, handling, or feeling objects, tools, or controls; sitting, standing, bending, twisting, stooping, kneeling, crouching, pushing, pulling, and reaching with the hands and arms.
Responsibilities
  • Greet visitors, staff, and people supported at the site; announce arrivals as necessary and direct individuals to the appropriate party or location.
  • Maintain office security by following safety procedures and maintaining visitor and other logs, including electronic logs, in accordance with applicable procedures.
  • Answer and screen phone calls, direct calls to appropriate parties, take messages, and handle inquiries.
  • Coordinate, schedule, and confirm meetings, including securing meeting spaces, determining attendee availability, and creating or sending electronic invitations using Outlook Calendar or other systems.
  • Liaise with internal departments and external stakeholders to coordinate maintenance issues, appointments, schedules, transportation, and other location- or program-related needs.
  • Receive, sort, prepare, and distribute mail, packages, and deliveries; replenish, stock, and distribute supplies as needed.
  • Perform clerical and administrative tasks such as filing, copying, scanning, data entry, and creating memos, lists, spreadsheets, and other documents.
  • Obtain, access, and review documentation and assist with obtaining documentation from internal or external sources by phone, email, or in person.
  • Scan, save, name or rename, and upload documentation into shared folders and electronic systems such as Digital Agency.
  • Perform data entry in electronic systems and complete forms and other documents using information from receipts, records, or statements.
  • Assist with developing and implementing systems and processes to improve monitoring, collecting, organizing, and tracking of administrative paperwork and information.
  • Coordinate and facilitate arrivals and departures of people supported and other groups or visitors, including assisting or escorting individuals during bus duty and coordinating or rescheduling transportation.
  • Collect, monitor, and track information such as program attendance and service duration; compile information from various systems, communicate or report findings, and escalate concerns and patterns to a supervisor or leadership.
  • Support fiscal systems by entering and documenting ledger, fee determination, and invoice information; perform basic calculations to reconcile ledgers or total expenses and select invoice codes.
  • Monitor and reconcile petty cash by completing paperwork, entering data, and accounting for expenditures through reviewing, totaling, and documenting receipts.
  • Comply with Federal, State, Local, and other relevant regulatory agency requirements, including the Health Insurance Portability and Accountability Act.
  • Perform other assigned duties.
Desired Qualifications
  • Experience with individuals with intellectual and developmental disabilities.
  • Experience reconciling financial and purchasing data, including ledgers, petty cash, and invoices.
  • Previous experience using Workday or Digital Agency.
  • Verbal or written fluency in a second language.

Yai's Manhattan Star Academy (MSA) is a private, non-profit day school within the YAI Network that serves students aged 3 to 21 with developmental disabilities. It combines academics with therapies (occupational, physical, speech, counseling) in a Montessori-inspired, developmentally based curriculum, using small classes and sensory-friendly facilities with technology to track progress. The school includes a transition and vocational program to prepare students for life after graduation.
