Requirements
  • At least 2 years of industry experience working in a condominium association property management role.
  • Be willing to work off hours and weekends from time to time.
  • Have strong written and verbal communication skills.
Responsibilities
  • Oversee the regular business and day-to-day operations of a multi-site portfolio of condominium associations on behalf of trustee clients.
  • Handle trustee and resident relations, routine, emergency, and capital-improvement repairs and maintenance, enforcement of policies and rules and regulations, and financial and budgeting matters for assigned properties.
  • Manage assigned associations offsite from the company's Boston headquarters.
  • Maintain records on contracts, contractors, vendors, maintenance work, property operations, accounting, maintenance systems, resident information, and property reports.
  • Communicate with maintenance managers, property managers, the executive director, accounting staff, trustees, residents, vendors, contractors, and other employees regarding property activities.
  • Implement or recommend systems to improve management, maintenance, and operational services.
  • Assist with large project management, solicitation and comparison of bids, vendor recommendations, presentations, and other property-management administration.
  • Perform data entry and task management in software systems, including contractor, vendor, maintenance-employee, record-keeping, tracking, billing, and invoicing activities.
  • Provide the board of directors with details, guidance, agendas, meeting minutes, and regular reports regarding property operations and financial performance.
  • Maintain property websites, directories, tenant information, resident databases, vendor records, certificates of insurance, contracts, and related records.
  • Manage daily operations for an assigned portfolio of condominium associations, including scheduling maintenance and repair work.
  • Provide emergency on-call support to the maintenance department.
  • Respond to resident concerns and requests and coordinate troubleshooting and repairs.
  • Prepare annual budgets, variance reports, and analysis reports for assigned properties.
  • Contract and supervise work performed at the properties and oversee property services and recurring maintenance operations.
  • Oversee monthly fee collection, delinquency collections, and operating expenses.
  • Ensure contracts and insurance comply with bylaw requirements or board requests.
  • Attend board of directors and owner meetings.
  • Assist the executive director, maintenance manager, other property managers, and management staff with projects, client needs, emergencies, and other property-management tasks.
  • Promote the firm and assist with solicitation of new clients.
  • Maximize property values, customer satisfaction, and revenues for assigned associations and the company.
Desired Qualifications
  • A bachelor's degree or higher is preferred.
  • Property management certifications are a plus.
