Responsibilities
  • Support the department and department leadership with daily clerical tasks.
  • Prepare basic reports, charts, budgets, and presentation materials.
  • Respond to routine inquiries from internal and external sources using standard correspondence or other messaging.
  • Plan meetings and take detailed minutes as needed.
  • Answer phone calls, provide information to callers, or connect callers with appropriate staff.
  • Schedule appointments and update calendars.
  • Make travel arrangements and reservations for department leadership and staff as needed.
  • Compose and type correspondence, create spreadsheets, and create presentations.
  • Greet visitors and provide general support.
  • Develop and maintain the department filing system.
  • Adhere to University and unit-level policies and procedures and safeguard University assets.
  • Review and adjust patient clinical appointment schedules for faculty clinics and neuro-ophthalmology resident clinics to ensure required testing is scheduled and patient flow is optimized.
  • Ensure referrals to neurosurgery, neurology, endocrinology, rheumatology, and other services are made and expedited to support patient care.
  • Obtain and confirm authorizations for specialized medications, including Tepazza and Botox.
  • Obtain timely appointments for procedures such as neuroimaging and spinal taps.
  • Facilitate specialized treatments such as Luxturna gene therapy and ensure required authorizations, testing, and surgeries are scheduled properly.
  • Process and submit gene therapy testing, including Invitae and Molecular Vision Laboratory testing, and notify faculty when results are available.
  • Obtain external MRI and CT CD images and other test results needed for patient care.
  • Monitor faculty inboxes, resolve issues, and notify faculty of urgent matters.
  • Handle and resolve patient issues involving appointments, patient-care needs, disability forms, leave requests, low-vision referrals, work and school accommodations, and license forms.
  • Handle and resolve requests from outside physicians regarding existing patient issues and new patient referrals.
  • Monitor and adjust fellowship clinical schedules to support faculty neuro-ophthalmology clinics in Miami, Lennar, Plantation, Palm Beach Gardens, and Naples.
  • Organize fellowship applications and schedule fellowship interviews.
  • Maintain the weekly internal neuro-ophthalmology service meeting agenda and carry out action items from the meeting.
  • File faculty leave requests and reimbursements, including travel and publication reimbursements.
  • Order faculty office supplies and clinic items.
  • Cancel and reschedule patients for faculty sick leave or other unexpected absences and adjust new patient appointments based on clinical urgency.
  • Schedule legal deposition requests.
  • Interact with clinical-study personnel to handle requests and resolve issues.
  • Handle and schedule research meeting requests.
