Requirements

Responsibilities
  • Coordinate and implement alumni programs in consultation with Alumni Engagement Officers, Managers, and Directors, while monitoring timelines, budgets, and assessments.
  • Support alumni programming by setting up and maintaining registration systems, tracking budgets, submitting requests for the President’s time, and preparing briefing notes.
  • Support the development and implementation of alumni programs and new initiatives that advance the strategic plan.
  • Coordinate internal and external partnerships to deliver alumni activities, programs, resources, and events.
  • Develop relationships with alumni and connect them with departments, programs, or affinity groups as appropriate.
  • Coordinate volunteers and staff for program delivery, including recruiting, orienting, and supporting program volunteers.
  • Serve as a resource person for alumni programs and events.
  • Evaluate alumni programs and services, analyze statistical information, and document and report results.
  • Develop and maintain an understanding of the DAE Information Management System (LINKS).
  • Maintain accurate alumni and volunteer profiles and program information in the university database, including interactions and POINTS submissions.
  • Integrate data collection and data mining into work plans, maintain the programming calendar, track budgets, and track and report program progress, meetings, and points.
  • Develop, implement, and monitor protocols for the alumni relationship management database and generate reports and lists as required.
  • Prepare briefing notes, tracking and reporting, data management, presentations, meeting support, and event support.
  • Identify, research, and coordinate new initiatives to advance the University and alumni UBC.
  • Attend meetings and events outside normal work hours when required and provide event preparation, on-site implementation, and execution support.
  • Provide finance and budget support for programs.
  • Develop presentation materials as required.
  • Accommodate flexible hours, including evenings, and attend events and meetings as necessary.
  • Manage and advise student employees and volunteers on projects as required.
Desired Qualifications
  • Experience working with alumni or other constituents of a post-secondary institution.
  • Experience working in volunteer organizations, program coordination, strategic planning, or public relations.
  • Comfort working with high-level administrators, volunteers, and staff.
  • Intermediate computer skills with Microsoft Office Suite, PowerPoint, and the Internet.
  • Knowledge of LINKS.
  • Ability to handle multiple tasks and respond to multiple stakeholders.
  • Strong verbal and written communication skills.
  • Strong interpersonal and negotiation skills when liaising with colleagues, alumni, internal and external service providers, and senior university administration.
  • Strong conceptual abilities and attention to detail.
  • Analytical and problem-solving skills, collaboration, and conflict resolution.
  • Ability to handle confidential and sensitive material and exercise tact and discretion.
  • Ability to persuade others of the value of collaboration and participation.
  • Ability to work independently and within a team environment.
  • Ability to operate the normal range of office equipment.
