Requirements

Responsibilities
  • Ensure that all administrative operations run smoothly and efficiently.
  • Coordinate, plan, and direct services that support the running of the department.
  • Plan and coordinate staff duties and analyze complex administrative concerns.
  • Develop and implement department processes.
  • Recruit and train office support staff.
  • Manage staff in the day-to-day performance of their jobs.
  • Ensure that projects and department milestones and goals are met while adhering to approved budgets.
  • Purchase and maintain office equipment and supplies.
  • Track and analyze operational costs.
  • Coordinate delivery of office services with other departments.
  • Establish and continuously assess the effectiveness of internal controls within the unit and ensure compliance with University policies and procedures.
  • Ensure that employees are trained on controls within the function and on University policies and procedures.
  • Lead executive support activities and special projects for top-level leadership and their functional areas.
  • Manage schedules, offices, travel arrangements, communications, information preparation, and data management.
  • Represent the executive and the executive's interests to others.
  • Assist with development initiatives and relationships with donors.
  • Support top-level leadership and their divisions with high-level executive support.
  • Act as executive liaison and advise others of the executive's activities and views on policies or issues using judgment and discretion.
  • Manage the executive's calendar and approve or decline meeting requests on behalf of the executive.
  • Coordinate with the Gordon Center team, the University of Miami Miller School of Medicine, UHealth, and external organizations to arrange meetings for Gordon Center leadership.
  • Prioritize executive meetings, including rescheduling and cancelling other high-level meetings.
  • Manage executive travel arrangements and the budget for off-site courses, conferences, presentations, and meetings.
  • Prepare and submit travel-expense reimbursement documents, including gathering receipts and submitting required information for processing.
  • Support executive deadlines related to clinical duties, licensing, and other professional requirements.
  • Create memos, reports, presentations, project timelines, and documents for distribution or meetings on behalf of the executive.
  • Draft correspondence and documentation and proofread prepared materials for clarity and accuracy.
  • Ensure that the executive is prepared for meetings and presentations and receives important information before meetings and conference calls.
  • Respond independently on behalf of the executive while handling confidential information, correspondence, and communications.
  • Prioritize and manage multiple projects and special assignments championed by the executive.
  • Assist with development initiatives, including donor recognition, fundraising letters, and special events.
  • Lead the planning of annual and ad-hoc special events.
  • Train and supervise lower-level clerical staff as needed.
  • Attend division and other high-level meetings and take detailed minutes as needed.
  • Develop and maintain the division filing system for important documents, including digital organization.
  • Provide center-wide support services as needed.
  • Safeguard University assets and adhere to University and unit-level policies and procedures.
