Requirements
  • A high school diploma or equivalent is required.
  • Two years of related experience in a property management or apartment leasing office are required.
  • Experience with site-based affordable housing programs, specifically the U.S. Department of Housing and Urban Development and Section 8, is strongly preferred.
  • Certified Occupancy Specialist and/or Tax Credit Specialist certification is strongly preferred.
  • Experience with Yardi is strongly preferred.
  • Successful completion of a background check and drug screen is required.
  • A valid driver's license and clean driving record are required.
  • Excellent interpersonal and verbal communication skills are required.
  • The ability to work independently, self-motivate, take initiative, multitask, prioritize efficiently, determine call or issue priority, maintain confidentiality, and demonstrate organization, attention to detail, basic math proficiency, integrity, adaptability, and accountability is required.
Responsibilities
  • Foster positive, active, and collaborative relationships with residents, communities, and associated agencies.
  • Maintain a clean reception area and professional surroundings.
  • Assist management with administrative projects, phones, faxes, filing, typing, mailings, and rental payment processing.
  • Maintain accurate records of resident transactions and issue resident receipts as necessary.
  • Review reports and confirm Tenant Rental Assistance Certification System transmission readiness when applicable.
  • Answer and direct incoming calls and ensure appropriate follow-up when team members are unavailable.
  • Address resident concerns and requests promptly and communicate responses regarding actions taken or not taken.
  • Greet prospective residents and visitors and explain the property's benefits.
  • Coordinate leasing by interviewing prospective residents, assessing needs and qualifications, securing welcome cards or applications, and entering information into the property data system.
  • Schedule application intakes and interviews and process and distribute applications.
  • Show apartments and explain layouts, lease terms, facilities, and available services.
  • Qualify prospective residents according to property program requirements and the tenant selection plan.
  • Maintain an applicant waiting list to support maximum occupancy.
  • Calculate rent according to property programs, procedures, or rent schedules when required.
  • Complete lease documents and collect reservation deposits, security deposits, and initial or prorated rent when applicable.
  • Conduct marketing outreach with neighborhood groups, local employers, community organizations, and other prospecting sources to convert leads into rentals.
  • Conduct marketing surveys, review traffic reports, and share trends with the Property Manager.
  • Assist with resident retention initiatives, including resident functions, promotions, and newsletters.
  • Assist with property communications and notices.
  • Prepare and execute lease renewals and process interim recertifications, annual recertifications, and other required documentation.
  • Secure applicant and resident signatures for administrative processes.
  • Maintain accurate records of resident transactions and certifications and process interim certifications and move-in and move-out documentation on time.
  • Notify management of necessary legal action related to resident non-payment or non-compliance.
  • Process work orders, certifications, deposits, and resident documentation in property management software.
  • Maintain documentation and filing procedures in accordance with standard operating procedures.
  • Inspect apartments, models, and community amenities before showing them and report maintenance or property needs.
  • Enter work orders and service requests into the property data system and communicate them to maintenance.
  • Assist in achieving property financial goals.
  • Enforce property rules and regulations in accordance with program requirements, standard operating procedures, and applicable laws.
  • Preserve the confidentiality of residents, applicants, employees, and company information.
  • Perform other duties assigned by management.
