Requirements
  • A high school diploma or equivalent is required.
  • Proven experience in an administrative role is required; experience in a government or large organization is preferred.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, and other relevant software applications is required.
  • Strong organizational and time management skills, including the ability to prioritize tasks effectively, are required.
  • Excellent written and verbal communication skills are required.
  • Attention to detail and accuracy in completing tasks are required.
  • The ability to maintain confidentiality and handle sensitive information appropriately is required.
  • The ability to adapt to changing priorities and work independently or collaboratively is required.
Responsibilities
  • Organize and maintain calendars for departmental staff and schedule appointments, meetings, and conference calls.
  • Manage incoming and outgoing communications, including emails, letters, and phone calls, and draft and proofread correspondence as needed.
  • Maintain and organize physical and electronic files, records, and documents, and ensure filing systems support easy retrieval.
  • Arrange meeting logistics, including room bookings, catering, and equipment setup; prepare agendas, distribute materials, and take meeting minutes as required.
  • Coordinate travel arrangements for departmental staff, including flights, accommodations, and transportation.
  • Provide administrative support through copying, scanning, and faxing documents, and assist with expense reporting, invoice processing, and procurement tasks.
  • Input data accurately into databases, generate reports as needed, and maintain the confidentiality and integrity of sensitive information.
  • Serve as a point of contact for internal and external stakeholders, respond to inquiries professionally, and redirect inquiries as necessary.
  • Assist with special projects and initiatives assigned by departmental leadership and collaborate with team members to achieve project objectives.
  • Ensure compliance with United States Department of Agriculture policies, procedures, and regulations and stay informed about relevant updates and changes.
Desired Qualifications
  • An associate's or bachelor's degree is preferred.
  • Experience in a government or large organization is preferred.
  • Advanced proficiency with Excel, Access, Outlook, PowerPoint, and Word is preferred.
  • Proficiency with Adobe Acrobat, data analytics tools, and Visio is preferred.
