Requirements
  • An associate’s degree is required.
  • Two years of relevant administrative experience are required, or an equivalent combination of education and experience.

Responsibilities
  • Manage complex calendars and schedule high-level meetings within and outside the medical center, including international meetings as required.
  • Manage the calendars of the Director of Transplant Medical Services, the Chief of the Transplant Institute, and other transplant institute providers, recommending among competing demands on their time.
  • Represent assigned leaders in contact with internal and external partners, anticipate instructions and concerns, and obtain reports or recommendations.
  • Handle confidential and sensitive information with discretion.
  • Obtain background material for decisions and presentations, conduct research, and compile data for reports and presentations.
  • Edit and check the accuracy of reports, correspondence, publications, and presentations or speeches.
  • Prepare and sign routine correspondence.
  • Record, maintain, and distribute meeting agendas and follow up on action items.
  • Assist with domestic and international travel arrangements, including potential visa needs, in accordance with University policies.
  • Manage inventory and procurement processes for research and office supplies and equipment.
  • Route and track signature processes for personnel changes.
  • Assist with complex interview schedules and plan faculty candidate visits, including flights, hotels, dinners, local transportation, and reimbursement of candidate expenses.
  • Schedule team member interviews as requested.
  • Collaborate with various divisions and integrate best practices to improve service efficiency and effectiveness.
  • Prepare and track expenditures related to grant, research, and practice accounts.
  • Identify and investigate non-personnel issues related to monthly account reconciliation and follow up on undocumented expenditures and payments.
  • Research, follow up, and collect supporting documentation missing from monthly account reconciliations.
  • Provide reports and tracking data as requested.
  • Initiate procurement orders as needed.
  • Process expense reports and payment requests with proper documentation.
  • Participate in planning and coordinating transplant events, including large-scale meetings and continuing medical education events.
  • Serve as an active member of the Transplant Celebration Committee and coordinate team member recognition.
  • Organize and plan patient recognition and donation events with the committee.
  • Provide cross-coverage for other administrative support personnel within the Institute.
  • Assist with maintaining the Institute time-away calendar.
  • Input call schedules into provider calendars.
  • Assist with division communications.
  • Schedule the Institute’s shared conference room space.
  • Assist with daily office operations.
  • Perform other related duties as assigned.
Desired Qualifications
  • A bachelor’s degree is desirable, with a background or interest in science.
  • Excellent problem-solving and decision-making skills are preferred.
  • Experience in a university or healthcare setting is preferred.
  • Experience with Workday is preferred.
  • Strong attention to detail and the ability to manage multiple projects and priorities are preferred.
  • Experience working in a team setting and interacting with nurses, advanced practice providers, physicians, surgeons, social workers, nutritionists, pharmacists, financial counselors, and administrators is preferred.
