Responsibilities
  • Maintain accurate and up-to-date calendars containing meetings, events, travel, board commitments, personal scheduling holds, and key deadlines.
  • Identify and flag calendar conflicts, missing information, preparation needs, and unclear priorities early.
  • Add locations, links, phone numbers, attendees, agendas, travel time, parking information, bios, and preparation notes to calendar entries.
  • Build appropriate buffers for travel, preparation, follow-up, and meeting transitions.
  • Review upcoming calendars regularly to identify gaps, conflicts, missing information, or preparation needs.
  • Book and coordinate flights, hotels, rental cars, transportation, meeting logistics, and itineraries.
  • Include flight times, confirmation numbers, hotel details, ground transportation, meeting locations, addresses, and contact information in calendar records.
  • Monitor flight changes, delays, cancellations, and travel disruptions and troubleshoot travel issues quickly.
  • Arrange and coordinate Bethesda meetings and events.
  • Arrange and coordinate board meetings, events, meals, logistics, agendas, board memos, materials, and follow-up details.
  • Manage meeting invitations, attendance lists, room reservations, technology needs, catering, travel coordination, and meeting materials.
  • Confirm meeting and event details at least one week in advance.
  • Prepare and distribute agendas, bios, meeting packets, printed materials, and digital materials.
  • Track meeting follow-up items and help ensure next steps are completed.
  • Provide meeting information to attendees well in advance.
  • Prepare board documents, packets, communications, reports, presentations, and related materials.
  • Assist with drafting, formatting, proofreading, and organizing documents.
  • Ensure materials are professional, accurate, polished, and delivered on or before their due dates.
  • Maintain organized files for board materials, meeting notes, important communications, and reference documents.
  • Coordinate board-preparation deadlines and ensure required materials are ready and distributed in advance.
  • Respond to scheduling requests, meeting inquiries, and follow-up messages promptly and professionally.
  • Communicate with the executive team about priorities, meeting needs, coordination requests, and follow-up items.
  • Determine appropriate meeting attendees and confirm invitations.
  • Include meeting purposes, agenda items, decisions, preparation materials, and relevant background in scheduling communications.
  • Draft polished emails and messages for scheduling, meeting coordination, follow-up, and routine communication.
  • Track open scheduling and communication items until meetings are confirmed or next steps are clear.
  • Keep communications concise, courteous, and clear.
  • Support the executive team through timely scheduling, clear communication, meeting context, and organized follow-up.
