Requirements
  • A high school diploma or equivalent education is required.
  • Five years of clinical healthcare experience are required, including at least two years in a managerial role; Houston Methodist employees may be considered with four years of relevant clinical experience demonstrating progressive leadership abilities.
  • Practice Management Certification is preferred.
  • English speaking, reading, and writing proficiency sufficient to perform essential job functions is required.
  • Ability to communicate effectively with patients, physicians, family members, and coworkers through various channels is required.
  • Leadership, critical-thinking, self-direction, initiative, interpersonal, and oral and written communication skills are required.

Responsibilities
  • Independently manage and/or coordinate complex care delivery within a large, multi-physician primary care, specialty, or multidisciplinary practice.
  • Manage daily work activities of department staff and ensure quality, productivity, functional excellence, and efficiency.
  • Supervise front-desk, business-transaction, clinical-support, compliance, safety, and customer-service functions.
  • Maximize revenue through efficient, effective, and compliant procedures.
  • Collaborate with clinic medical staff and system-wide administrative and medical staff.
  • Provide staff guidance and manage staffing, budget compliance, hiring and termination processes, employee coaching, counseling, and policy and procedure implementation.
  • Implement training, monitoring, and operational initiatives that ensure compliance with ethical and legal business practices and accreditation, regulatory, and government requirements.
  • Select, schedule, supervise, retain, evaluate, develop, and mentor department employees and develop direct reports to perform these functions.
  • Conduct department meetings, employee rounding, performance appraisals, new-hire feedback sessions, coaching and corrective counseling, and employee recognition activities.
  • Facilitate team dynamics and teambuilding strategies and lead department process improvements.
  • Plan and organize daily practice operations, staff and physician schedules, and activities; set priorities and functional standards.
  • Drive service standards and patient/customer satisfaction activities and participate in entity committees.
  • Serve as the first-line contact for physicians and staff regarding daily practice operations and resolve patient, family, physician, and healthcare-team concerns.
  • Ensure a safe and effective work environment, monitor safety plans and accreditation or regulatory guidelines, and confirm staff credentials and competency.
  • Use and optimize information systems to enhance operations and support performance improvement and data management and analysis.
  • Monitor workflow, report near misses and adverse events, identify solutions, apply lean principles, and improve safety.
  • Monitor compliance with policies, procedures, and Human Resources standards and take action on non-compliance.
  • Analyze practice performance using customer-satisfaction systems, financial reports, trends, and clinical operational indicators; formulate action plans for deviations.
  • Develop and manage department budgets, audit expenses, meet financial and staffing targets, and create cost-effective staffing plans and schedules.
  • Optimize productivity and resource efficiency, minimize incidental overtime, and implement strategies to achieve financial and staffing targets.
  • Review encounters, create claims, and manage workflow dashboards.
  • Monitor charge capture and copayment collections, manage petty cash batches and deposits, reconcile cash daily, and maintain documentation.
  • Ensure accurate timekeeping and payroll, reduce incidental overtime, and manage reporting and record-keeping functions.
  • Identify and implement innovative practice and workflow solutions, lead unit projects, and support shared-governance activities.
  • Evaluate processes, recommend and implement changes, and ensure sustainable improvements.
  • Build strategic relationships across areas, teams, departments, and units to achieve business goals.
  • Identify development needs, conduct staff development conversations, and ensure completion of development planning.
  • Manage assigned projects related to Houston Methodist’s mission, business plan, strategic planning, and business planning processes.
  • Contribute to annual clinic and department goals and objectives and help staff achieve them through training and resources.
