Project Field Administrator
About the job
- A 4-year business or technical degree plus a minimum of 3 years of administrative experience, or an equivalent combination of education and experience including a minimum of 3 years of construction project administration.
- Ability to keyboard accurately at 65-75 words per minute.
- Advanced knowledge and use of word-processing and spreadsheet software.
- Proficiency in general office procedures and office machines.
- Proficient English verbal communication skills, including a professional telephone manner.
- Proficient written communication skills, including business writing skills.
- Reliability, dependability, and flexibility.
- Provide administrative support to the project management team and assist in administering the field office to achieve efficient and accurate project documentation.
- Perform all essential Project Assistant and Project Coordinator responsibilities.
- Coordinate and/or supervise clerical and administrative staff as needed.
- Answer phones, screen and handle routine items, and direct calls as appropriate.
- Compose and/or edit letters, memos, reports, procedures, and other documents as required.
- Act as a liaison between the supervisor and other departments, managers, or clients, including arranging meetings, communicating information, and maintaining public relations.
- Attend and document project meetings by writing minutes.
- Set up and maintain the project filing system.
- Distribute documents to subcontractors and maintain document logs.
- Update drawings and post changes.
- Prepare and maintain request for information logs on the CMiC system.
- Transmit and distribute submittals.
- Prepare and maintain submittal logs.
- Prepare and maintain the expediting log.
- Perform expediting functions.
- Input quantities in labor cost reports on CMiC.
- Cost-code and/or verify correct codes on timesheets.
- Prepare and document extra work orders.
- Maintain the reference log and associated documents on CMiC.
- Review and assemble change-order submittals and quantity surveys.
- Maintain the progress photo album.
- Assist in compiling billings, lien releases, and certified payrolls, as applicable.
- Compile contract close-out documents and as-built documents.
- Document punch-list work.
- Create owners' forms as required for reporting purposes.
- Coordinate paper flow from the field to the Division Office.
- Complete other assigned responsibilities.
