Requirements
  • A bachelor's degree from an accredited institution and three years of experience in a Navy administrative environment, or twelve years of experience in a Navy or Marine Corps administrative environment in lieu of a degree.
  • At least five years of experience at an executive level within a Navy or Marine Corps administrative environment.
  • The ability to obtain a Favorable Tier 3 Background Investigation.
  • Recent administrative, presentation, protocol, and operations support experience within the last three years.
  • The ability to perform Office Manager duties and exercise discretion and independent judgment on significant matters within the headquarters front office.
  • Experience establishing work priorities and communicating effectively with staff inside and outside the headquarters command.
  • Experience handling a wide range of administrative and executive support tasks and working independently with little to no supervision.
  • Executive administration experience with high-level event planning and coordination, itinerary development, and detailed knowledge of Navy protocol and military courtesies policies and regulations.
  • Knowledge of the Navy and Marine Corps organizational and command structure.
  • Working knowledge of desktop publishing, calendar, electronic mail, spreadsheet, and graphics software functions.
  • Working knowledge of the Microsoft Office suite.
  • An active Secret clearance is required.
Responsibilities
  • Assist with presentation, protocol, operational, and administrative tasks supporting Center for Security Forces senior leadership.
  • Draft and prepare correspondence, directives, and forms in proper format for signature, and review them for errors.
  • Use advanced functions of word-processing software applications to produce medical, scientific, or technical documents.
  • Make travel arrangements according to travelers' intentions and preferences and applicable travel regulations.
  • Schedule transportation and hotel or government-quarters reservations in a timely manner.
  • Address security issues effectively.
  • Prepare travel orders and travel vouchers, maintain contact with travelers, and maintain reports on travel-funding issues as needed.
  • Assist with planning and coordinating Center for Security Forces conferences, including briefing preparation and conference logistics.
  • Schedule in-house conferences and local meetings, as well as large meetings and conferences at distant locations.
  • Attend conferences and meetings to assist with administrative setup and details and take minutes to track action items.
  • Analyze proposed and existing regulations and directives for style-guide conformance, clarity, duplication, and conflicts, and recommend corrective actions.
  • Prepare command instructions and notices in proper format.
  • Maintain the Commanding Officer's, Executive Director's, Center, audio bridge, and headquarters conference-room calendars and schedules.
  • Advise office staff on preparing and publishing complex-format documents such as newsletters, brochures, flyers, special reports, briefings, and manuals.
  • Apply publishing capabilities to improve reports, presentation and briefing materials, training materials, and scientific or technical study papers.
  • Manage the Command's Incentive Award Program, including processing awards through approval.
  • Prepare award packages and process award certificates and medals.
  • Review Learning Activity correspondence for consistency with Navy policies and procedures and completeness.
  • Administer the Site Mail Management Program, including mail pickup and delivery.
  • Administer the Site Files and Records Program.
  • Create message traffic for review and release after leadership approval and receive and redistribute incoming message traffic locally as appropriate.
  • Prepare military retirement correspondence and official ceremonial paperwork.
  • Manage the activity check-in and check-out process and coordinate with headquarters staff when appropriate, including Government Travel Charge Card matters.
  • Conduct site indoctrination for new personnel.
  • Track and coordinate personnel travel with the Center for Security Forces.
  • Prepare Navy and Marine Corps enlisted and officer fitness reports.
  • Fulfill Privacy Act Office Administrator responsibilities, including semiannual audits.
  • Serve as the activity's alternate point of contact for the local Personnel Support Activity Detachment or Training Support Center Detachment.
  • Set up classrooms and ensure classroom materials are available for classes.
  • Prepare graduation certificates and coordinate with the Training Support Center Student Control office as appropriate.
  • Maintain the shared drive by reviewing it for personally identifiable information and duplicate files.
  • Serve as the activity's administrative assistant and track training status.
  • Coordinate training schedules.
  • Maintain training schedules and related documentation on Total Workforce Management Site, MyNavyPortal, Navy eLearning, and FLTMPS.
  • Update and maintain the training site web page.
  • Track funding balances and manage the receipt, distribution, and inventory of Learning Activity purchase orders.
