Requirements
  • An appreciation and respect for the Catholic Church and its teachings is required, and employees must conduct themselves consistently with the Church's mission, teachings, morals, laws, and diocesan policies.
  • A high school diploma or equivalent is required, supplemented by four or more years of experience in an office or administrative environment.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, is required.
  • Strong organizational and interpersonal skills with attention to detail are required.
  • Ability to perform clerical and administrative tasks accurately and efficiently is required.
  • Ability to read, interpret, and compose routine correspondence with a strong command of the English language is required.
  • Ability to prioritize work, manage multiple tasks, and meet deadlines with moderate independence is required.
  • Ability to respond professionally to inquiries from diocesan entities, parishioners, and members of the business community is required.
  • Ability to maintain confidentiality and handle sensitive information with discretion is required.
  • Ability to learn and apply office systems, processes, and procedures is required.
  • Ability to work occasional evenings and weekends and effectively manage multiple tasks in a moderately fast-paced office environment is required.
  • Ability to perform sedentary to light physical work, including lifting, carrying, pushing, and pulling objects weighing up to 10 pounds, is required.
  • Ability to sit and stand for extended periods, reach, grasp, perform manual-dexterity tasks, see at varying distances, use standard office equipment, and communicate effectively verbally and in writing is required.
Responsibilities
  • Greet, welcome, and direct visitors.
  • Provide receptionist services for the Faith Formation office, including recording clear and accurate messages and handling routine questions about policies and events.
  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics by scan, fax, or email.
  • Prepare and send correspondence, file records, schedule activities, create and update forms, update bulletin boards, count and track money received from parents, students, and staff, prepare the weekly deposit, and submit it to the Finance Office.
  • Create and maintain permanent records, including rosters, letters, financial records, and registrations.
  • Gather required information for people preparing for sacraments, including baptismal certificates.
  • Coordinate, set up, and assist with administrative needs for meetings, conferences, liturgical celebrations, and other events.
  • Prepare reports by collecting information and data.
  • Maintain catechist contacts, files, and documents.
  • Maintain the database of families and students enrolled in programming, complete registrations, update family records, prepare requested reports, update sacramental dates, and assist with annual registration for formation programs.
  • Attend required meetings and gatherings, take meeting minutes, and provide assistance as needed.
  • Order faith formation-related office and catechist materials.
  • Maintain faith formation supplies and resources in an organized manner.
  • Maintain confidentiality in all areas of responsibility.
  • Support the Faith Formation team and Parish Catechetical Leader and Director of Adult/Family Faith Formation with administrative and clerical services.
