  • Ability to operate basic office equipment, including scanners, copiers, fax machines, and phones.
  • Intermediate knowledge of Microsoft Word, Microsoft Excel, Microsoft PowerPoint, and Microsoft Outlook.
  • Ability to use the internal records system.
  • Ability to type 60 words per minute.
  • Ability to exercise discretion and maintain confidentiality.
  • Ability to maintain client information as confidential in compliance with the federal Health Insurance Portability and Accountability Act of 1996 and the California Lanterman Act.
  • Creative problem-solving, customer service orientation, organizational skills, time management, attention to detail, adaptability, collaboration, self-direction, and initiative.
Responsibilities
  • Provide administrative support within the department by taking initiative, anticipating needs, and carrying out projects in a timely manner within the delegated scope of authority.
  • Establish, maintain, and update files, databases, records, and other documents, and perform routine data analyses and calculations for internal reports.
  • Compose and prepare highly specialized correspondence.
  • Serve as a liaison with other departments to resolve day-to-day administrative and operational problems.
  • Respond to internal and external inquiries by phone, email, and in person, and redirect inquiries as necessary.
  • Compile and prepare documents for appeals, state-level fair hearings regarding eligibility, discussions with attorneys and judges, subpoenas for records, and court-ordered evaluations.
  • Assist the manager and staff with problem-solving, project planning, and the development and execution of stated goals and objectives.
  • Attend assigned meetings and prepare, edit, and distribute meeting agendas and minutes as needed.
  • Schedule and coordinate meetings, events, appointments, and similar activities for the supervisor.
  • Maintain confidential files and materials for the Director of Clinical Services.
  • Coordinate clinical service unit activities and staff schedules.
  • Process documents for final approval as assigned.
  • Collect information, compile reports, and support assigned projects and research activities.
  • Gather background material to establish the need for further diagnostic genetic studies, check unusual requests with the Manager of Clinical Services, and discuss cases directly with families and persons at risk.
  • Coordinate authorization and payments for amniocentesis.
  • Review and process requests for medical consent.
  • Track completion of eligibility reports from clinical staff.
  • Prepare and finalize specialized medical and psychological assessment reports when necessary.
  • Prepare and maintain files for personnel supported by the Mortality Review Committee.
  • Maintain and coordinate registration conferences for staff continuing education and arrange necessary travel.
  • Assist other members of the Management Advisory Committee as requested.
  • Provide backup support to the Executive Administrative Assistant and the Administrative Assistant for Regional Center Services as needed.
  • Participate in special projects and perform additional assigned duties or tasks.
Desired Qualifications
  • Relevant work experience in the healthcare field.
  • Experience in multicultural settings and/or multilingual capacity.
