Responsibilities
  • Provide direct support to the Operations Manager.
  • Act as a primary vendor and contractor liaison by managing contracts, renewals, service agreements, and issue resolution.
  • Coordinate building maintenance, repairs, and service requests for all practice locations.
  • Serve as a liaison with landlords, property management companies, and maintenance vendors.
  • Oversee routine inspections and preventative maintenance schedules.
  • Manage facility-related vendor contracts, including heating, ventilation, and air conditioning, cleaning services, waste management, and security.
  • Track and resolve facility issues in a timely and organized manner.
  • Assemble equipment, move supplies, organize storage areas, and assist with the physical setup of offices or clinical spaces.
  • Transport supplies and materials between locations as needed.
  • Travel between Nassau and Suffolk County locations to support operational needs.
  • Manage supplies and inventory by tracking usage, maintaining stock levels, and coordinating with vendors to ensure timely deliveries.
  • Support the development, execution, and monitoring of projects and operational initiatives, including reporting on progress and outcomes.
  • Assist with financial tracking by monitoring vendor invoices, reconciling supply orders with budgets, and flagging discrepancies for review.
  • Maintain accurate records, vendor files, contract documentation, and financial logs with attention to detail and confidentiality.
  • Ensure timely follow-up and completion of tasks and initiatives assigned across teams.
  • Collaborate with staff and leadership to support day-to-day operations and long-term growth initiatives.
