Responsibilities
  • Provide daily oversight to assigned staff consistent with company values and mission.
  • Assign, distribute, and monitor the quality and quantity of work produced, holding employees accountable for meeting quality and production requirements.
  • Train staff on departmental tasks, procedures, and processes as needed.
  • Monitor and manage team performance, including timekeeping, service, and adherence to company policies and procedures.
  • Manage incoming mail by ensuring it is scanned, logged, and delivered to the correct department, while securing checks until delivery.
  • Oversee outgoing mail by ensuring proper postage is charged to the correct client and mail is dispatched regularly.
  • Manage the reception desk and provide coverage as needed, ensuring calls and visitors are addressed timely and professionally and tracked properly.
  • Identify organizational improvements, including creating new procedures and updating existing procedures.
  • Produce postage and client bill-back reports.
  • Provide or remove office access for employees.
  • Ensure received invoices are submitted and approved in a timely manner.
  • Coordinate storage requests.
  • Coordinate with property management and building maintenance.
  • Coordinate with the mail courier regarding USPS anomalies, such as missent mail.
  • Manage inventory of supplies, including stationery, envelopes, letterhead, kitchen and break-room supplies, service packets, forms, and large-volume mailings.
  • Support staff with equipment needs and manage maintenance scheduling for copiers and printers.
  • Manage the USPS EPS account, including postage funds for permits and post office boxes and direct-deposit funds.
  • Perform other duties as required.
  • Work for prolonged periods at a desk and on a computer.
