Requirements

Responsibilities
  • Evaluate program effectiveness, analyze results, and recommend appropriate action.
  • Coordinate program activities with other program, department, or staff activities to ensure optimum efficiency.
  • Train, develop, and empower staff to effectively perform their jobs.
  • Act as a main point of contact for project funders, advisors, speakers, and participants, and recruit program participants, members, and volunteers.
  • Develop cooperative relationships with patients and families by projecting a positive image and creating a professional atmosphere.
  • Develop program communications and promotional literature, including newsletters, brochures, and flyers.
  • Prepare periodic reports, financial statements, and records for management or outside agencies.
  • Maintain patient confidentiality and the confidentiality of hospital business information.
  • Oversee established supply levels in the unit and supply rooms.
  • Assist in developing, organizing, producing, and evaluating health promotion and educational program offerings for patients in the assigned unit.
  • Provide general oversight of daily program activities.
  • Monitor program financial performance and assist with short- and long-range budgetary planning.
  • Perform clerical functions and office support activities for the assigned departments.
  • Provide comprehensive administrative support to the Oral Maxillofacial Surgery service and business and program support to its clinical, research, and education activities.
  • Support the General Practice Residency program for Oral Maxillofacial Surgery.
  • Coordinate rotation and on-call schedules.
  • Support dental office practice managers with business operations, patient experience, invoice reconciliation, patient payments, dental lab order management and reconciliation, and order and supply maintenance.
  • Support Oral Maxillofacial Surgery faculty members and medical staff with administrative needs.
  • Order and receive supplies, check inventory, and report supply or equipment issues.
  • Work the escalation list, manage late cancellations, and contact patients for appointment openings.
  • Call patients to confirm next-day appointments when requested by providers, identify no-shows and cancellations, and reschedule patients for follow-up.
  • Schedule specialist appointments for patients requiring that treatment.
  • Transfer or burn requested X-rays and/or records for another dental office.
  • Verify dental coverage and treatment/service authorizations.
  • Determine program eligibility, complete application procedures, generate dental treatment estimates, and record financial arrangements in the system.
  • Reconcile patient payments against treatment and laboratory fees.
  • Coordinate resident interviews and schedules, update the curriculum, and maintain resident evaluations.
  • Monitor, reconcile, and provide administrative support for credentialing, licensing, board certification, travel, and purchasing.
  • Attend and coordinate meetings as needed and prepare meeting minutes.
  • Maintain administrative procedures, including business mail, travel arrangements, expense reports, authorizations, and approvals.
  • Act as a contact person for clinical and non-clinical questions and concerns.
  • Maintain the calendar and provide routine clerical support for patient care, student services, reports, and statistics.
  • Prepare financial forms, including IDRs, BEFs, purchase orders, work orders, and check requisitions.
  • Participate in the design and development or renovation of space for the section or unit as needed.
  • Maintain a safe, secure, and healthy work environment by following standards, procedures, and legal regulations.
  • Keep equipment operating by following instructions, troubleshooting breakdowns, maintaining supplies, performing preventive maintenance, and arranging repairs.
