Requirements
  • A high school diploma or General Educational Development credential is required.
  • Strong organizational and communication skills, both verbal and written, are required.
  • Excellent typing skills and friendly telephone etiquette are required.
Responsibilities
  • Greet all scheduled patients upon arrival.
  • Assess telephone calls, determine the urgency of calls, and immediately refer urgent medical queries to a physician or nurse.
  • Use Staxi Chairs to assist patients with transportation from their vehicle to their appointment and back.
  • Track all new patient inquiries, including patient demographics, appointment dates, and scheduled providers.
  • Follow up with newly scheduled patients to assess their patient experience.
  • Perform receptionist duties, including answering, screening, and routing telephone calls; take appropriate messages and ensure their proper delivery.
  • Facilitate patient flow by notifying providers of patient arrivals, delays, or backlogs and communicating with staff and patients as necessary.
  • Use an Electronic Medical Record and other systems for appointment navigation.
  • Track all visitors in the electronic log for contact tracing as required by the Centers for Disease Control and Prevention and Department of Health.
  • Maintain a clean and organized reception area.
  • Provide additional coverage during evening hours and weekends as needed.
  • Coordinate with building security and management to support patient safety, including offering wheelchairs when needed and assessing the patient drop-off area to ensure it remains clear and accessible.
  • Ensure that accessibility equipment is functional and that the hand-sanitizing station is working and filled.
  • Ensure compliance with Health Insurance Portability and Accountability Act guidelines.
  • Retrieve incoming mail and packages and ensure their proper delivery to each specialty practice.
  • Perform other duties assigned by management.
Desired Qualifications
  • Graduation from an accredited Medical Office Administration program.
  • Six months of experience working as a receptionist.
  • One year of clerical or customer service experience.
  • Experience using an Electronic Medical Record and a practice management system.
  • Bilingual ability in Spanish.
