Requirements

Responsibilities
  • Support the administration of Young Dancers Program and Adult Ballet class schedules, attendance tracking, auditions, assessments, and related student activities.
  • Coordinate studio reservations, audiovisual setup, and other event logistics.
  • Maintain departmental schedules, including meetings, travel, and other administrative commitments.
  • Coordinate administrative requirements for performances and demonstrations, including student lists, schedules, casting information, chaperoning logistics, and event documentation.
  • Prepare student reports by collecting, formatting, inputting, and editing teacher comments.
  • Liaise with the Registrar’s Department regarding registration, auditions, student records, and program information.
  • Act as a primary point of contact for students, families, teachers, and other constituents by providing timely and professional customer service.
  • Respond to participant questions and concerns, follow up on issues, and escalate matters to the appropriate staff member when required.
  • Assist with departmental communications, reports, and administrative materials.
  • Support the Head of Comprehensive Dance Programs with departmental priorities, projects, timelines, and administrative requirements.
  • Coordinate administrative workflows and provide day-to-day guidance to part-time administrative staff and volunteers as required.
  • Maintain departmental records, filing and retrieval systems, and supplies inventory.
  • Collaborate with internal departments to support website updates, marketing materials, and program communications.
  • Support the timely processing of invoices and departmental expenses.
  • Assist with performances, auditions, workshops, special events, and other program activities.
  • Provide administrative and logistical support to artistic staff to facilitate the successful delivery of classes and program activities.
  • Maintain confidentiality and exercise discretion when handling participant and departmental information.
Desired Qualifications
  • Education, student services, office administration, or a related field is considered an asset.
  • Experience supporting events, programs, or multiple administrative priorities is considered an asset.
  • Familiarity with relational databases and database management systems is considered an asset.
