Requirements

Responsibilities
  • Analyze fully executed clinical trial agreements and translate contract payment terms into study team tracking templates supporting sponsor invoicing.
  • Interpret industry-sponsored clinical research contracts and budgets and develop study activity tracking documentation for recovery and reimbursement of study activities.
  • Verify research records, funding information, study costs, and invoicing calendars in the Clinical Trials Management System.
  • Educate study teams and provide guidance, training, and mentorship on activity tracking and Clinical Trials Management System subject, protocol, and invoicing functions.
  • Prioritize tasks and follow up to ensure sponsor invoicing activities are completed compliantly, timely, and according to contract terms.
  • Participate in Clinical Trials Management System planning, testing, and development to optimize activity tracking, sponsor invoicing, and reconciliation.
  • Monitor study startup, invoiceable, milestone, per-patient-visit, and administrative activities to ensure proper financial reimbursement.
  • Develop sponsor invoices based on invoicing milestones, invoiceable items, and pass-through costs.
  • Invoice sponsors, verify receipt of earned revenue, and follow up with sponsors regarding unpaid invoices.
  • Apply sponsor payments to the appropriate research accounts and Clinical Trials Management System records, review data for accuracy, and complete financial reconciliation before contract or account closeout.
  • Work with business managers and study teams to resolve invoicing issues, communicate with sponsors and Contract Research Organizations, and recover earned revenue.
  • Ensure invoicing processes comply with federal and state regulations and institutional policies and practices.
  • Integrate data from financial systems, the Clinical Trials Management System, Cayuse, eIRB, Epic, and SPARCRequest within the Research Integrated Network of Systems.
  • Generate monthly industry study financial reports and provide guidance on interpreting study financial data.
  • Assist with monthly, quarterly, and executive summary reports for principal investigators, department administrators, and research administration leadership.
  • Provide input on industry study financial report development, track data, analyze data, and validate data.
  • Document and manage financial documentation for industry-sponsored studies submitted for budgeting or sponsor invoicing support.
  • Implement strategies to capture complete and accurate information for workflow management and reporting.
  • Apply problem-solving, negotiation, and continuous quality-improvement methods to improve invoicing and Clinical Trials Management System processes.
  • Support the monthly invoicing process for Office of Clinical Research program service fees.
  • Participate in cross-functional, multidisciplinary work teams and perform other pre-award and post-award duties as needed.
Desired Qualifications
  • A degree in business administration, public administration, or the social sciences.
  • Two to five years of experience in contracts and grant administration activities.
  • Experience as a clinical research coordinator, research nurse coordinator, research or sponsored-programs accountant, grants administrator, or professional accountant or financial analyst with direct industry-sponsored research experience.
  • Certification as a clinical research professional or equivalent.
  • Knowledge of SPARCRequest, Epic, eIRB, proposal pricing, SmartStream, Darkwing, and research billing.
