Requirements
  • A high school diploma or general education degree (GED) is required, along with at least one year of related experience and/or training, or an equivalent combination of education and experience.
  • Ability to read and comprehend simple instructions, short correspondence, and memoranda.
  • Ability to write simple correspondence and present information effectively in one-on-one and small-group situations.
  • Skill in modern office techniques and practices and in using and caring for office machines and equipment.
  • Working knowledge of Microsoft Office, WordPerfect 6.0, Windows, Excel, and Desktop Publisher, with willingness to learn various software packages.
  • Computer literacy and proficiency.
  • Ability to interact with the public and coworkers in a cooperative and courteous manner.
  • Ability to write and speak clearly in English.
  • Ability to hear at normal speaking levels in person and over the telephone.
  • Ability to operate phones, computers, and other office equipment, and perform the required light physical activities, including kneeling, bending, and light lifting.
Responsibilities
  • Greet patients, clients, and customers by telephone or in person in a professional manner.
  • Organize assigned secretarial and clerical work and develop effective work methods.
  • Type technical, scientific, financial, statistical, and other statements, reports, correspondence, memoranda, opinions, orders, bills, warrants, contracts, forms, specifications, records, manuscripts, and legal documents from varied copy.
  • Provide administrative and secretarial support to management staff.
  • Maintain appointment schedules and daily engagement calendars for Chief Officers and other designated staff.
  • Arrange management staff speaking engagements, hearings, conference travel, and meeting travel.
  • Review, sort, and route incoming correspondence and prepare routine letters.
  • Prepare correspondence for management staff review and signature while maintaining knowledge of the Center's programs, objectives, standards, policies, and procedures.
  • Obtain pertinent materials from files and other sources, arrange them in usable form, and prepare memoranda and summaries.
  • Provide information to division personnel, government representatives, organizations, agencies, and the public in accordance with established policy and management direction.
  • Screen telephone calls directed to management staff.
  • Learn and use electronic and manual recording and information systems, personal computers, printers, copiers, and related equipment as required.
  • Maintain confidential personal correspondence, follow-up records, and other records and files.
  • Attend meetings and take meeting minutes as required.
  • Perform other assigned duties and assume other responsibilities as directed by the Chief Officers.
