Requirements
- Preferred bachelor's degree in Business, Logistics, Supply Chain Management, or a related field.
- Experience in fleet management focused on vehicle operations and user support.
- Knowledge of fleet management software and vehicle tracking systems.
- Strong organizational, planning, and problem-solving skills.
- Strong communication and interpersonal relationship management skills.
- Ability to manage multiple tasks simultaneously and work effectively in a fast-paced environment.
- Knowledge of occupational health and safety and applicable legal compliance requirements.
- English language proficiency is an advantage.
Responsibilities
- Manage the operational lifecycle of fleet and pool vehicles, from readiness for use through the end of the usage period and return, and ensure processes are carried out effectively through fleet management software.
- Coordinate the notary, registration, insurance, and other initial procedures needed to add new vehicles to the fleet, and coordinate vehicle onboarding and offboarding with internal stakeholders and suppliers.
- Obtain and track fuel cards, UTTS, HGS/OGS, and other operational vehicle needs, and ensure vehicle legal obligations are met on time.
- Manage vehicle handovers to users, inform them about fleet processes and company practices, and provide operational support.
- Plan, coordinate, and track maintenance, periodic inspections, breakdowns, repairs, tire changes, roadside assistance, and service during vehicle use.
- Monitor the performance of maintenance, service, tire, roadside assistance, and other service providers to help sustain service quality.
- Manage accident, damage, and insurance processes, create required records, track damage files, and ensure repairs are completed; coordinate replacement vehicles when needed.
- Manage vehicle returns at the end of their usage period, inspect vehicles, and ensure required procedures are completed.
- Maintain accurate and up-to-date vehicle registration, insurance, user, maintenance, mileage, damage, and cost information.
- Prepare reports on vehicle utilization, maintenance and damage costs, and operational performance; track vehicle availability and service-level indicators and identify improvement opportunities.
- Monitor the operational use of telematics devices, GPS systems, and other digital fleet solutions, and coordinate with relevant systems and service providers.
- Share process improvement needs and user feedback identified in fleet management with relevant stakeholders and contribute to process improvement work.
