Requirements
  • At least 3 years of administrative experience in a secretary-level role.
  • Security clearance is required; the candidate must hold active clearance or be able to receive clearance before performing on the project.
  • A high school diploma is required.
  • Advanced experience with Microsoft Office Suite software, including Excel, PowerPoint, and Word, and with devices such as Blackberry.
  • Solid telephone, scheduling, and time and travel management experience.
  • Advanced written and verbal communication and interpersonal skills.
  • Customer service skills.
  • Ability to be flexible and adaptable in a fast-paced environment.
  • Superior listening and comprehension skills.
Responsibilities
  • Greet visitors, determine the nature of visits, and direct visitors to appropriate persons.
  • Maintain a professional appearance at the front desk and in the waiting area.
  • Communicate professionally and politely.
  • Operate a central phone system, receive and direct calls to Government personnel within the facility, take and distribute phone messages, and answer general questions.
  • Record and transmit messages, keep records of calls placed, provide information to callers and visitors, make appointments, keep a visitor log, and issue visitor passes using a web-based platform.
  • Receive incoming service calls from building tenants, relay requests to building maintenance personnel, and follow up with service-request documentation using the appropriate platform.
  • Prepare and distribute daily service-call reports to building managers.
  • Analyze call data to identify increases or decreases in call types and building areas, as well as repetitive calls requiring further investigation.
  • Respond to requests for information about office procedures and determine which requests should be handled by the appropriate client government staff or office.
  • Log each building service request into the applicable computer program.
  • Provide receptionist, faxing, and copier or duplicating functions.
  • Alert management about unusual, repetitive, or urgent calls.
  • Perform word processing with Microsoft Office and Word for Windows, type documents using on-site software and hardware, and create, manipulate, and maintain spreadsheets and databases using Excel and Access.
  • Learn other Government software programs.
  • Code and file documents according to the accepted government filing plan.
  • Open, sort, time-stamp, and distribute mail; address and mail packages and envelopes; and reroute misdirected mail.
  • Receive and confirm conference-room reservation requests, maintain the conference-room calendar, arrange conferences and meetings, assemble background materials, operate EMS Lite conference-room software or other audiovisual equipment, and communicate applicable fees when required.
  • Review outgoing materials for typographical accuracy, proper format, and internal consistency.
  • Maintain recurring internal reports, directories, phone lists, office-equipment listings, and correspondence controls; update reports, logs, and listings through tenant contact.
  • Maintain an electronic office-supply inventory, notify management when supplies are low, requisition supplies as directed, and notify procurement when correct orders are received.
  • Process security-clearance paperwork for contractors, verify that required clearances have been obtained, distribute and explain personal-history forms, review forms for completeness and accuracy, prepare coversheets, schedule fingerprinting appointments, notify applicants of clearance decisions, prepare photo-ID packages, maintain cleared-contractor files, update and purge files, and answer clearance-process questions.
  • Maintain and operate systems for building key cards and parking permits, provide applications and information, route applications for approval and processing, and maintain related files.
  • Process paperwork and transmit documents.
  • Develop and maintain a current procedures manual for administrative services tasks.
  • Collect information from files or staff for routine inquiries and periodic reports and refer non-routine requests to the COR or designee.
  • Respond to priority non-routine work orders within the usual scope of clerical and word-processing tasks.
  • Carry out recurring office procedures independently, select appropriate guidelines for specific cases, and handle differing situations and deviations according to general instructions, priorities, duties, policies, and program goals.
  • Check deliverables for quality, record issues or problems on the web-based platform, and use the company's quality-control frameworks and templates.
  • Enter performance data and metrics on the web-based platform.
  • Enter daily time and attendance through the online portal and coordinate leave or vacation requests with the Team Lead or Program Manager.
  • Fulfill other duties and activities within the scope of the Administrative Support personnel role.
Desired Qualifications
  • Knowledge and experience with Federal Government information systems and processes.
  • One to two years of vocational or technical training.
  • A Bachelor of Arts or Bachelor of Science degree.
