A Hands-On Role Ensuring Business Continuity and Driving Structured Organizational Growth

AIRoA operates in a unique environment—functioning as a non-profit incorporated association (General Incorporated Association) while driving large-scale, national-level projects. In this role, you will be responsible for maintaining business momentum while ensuring that organizational operations adhere to proper rules and compliance procedures. You will organize daily decision-making processes, align internal and external stakeholders, and keep initiatives moving forward. As a member of the Legal & Governance Department, your key duties will include supporting Board of Directors operations and serving as the primary point of contact for day-to-day consultations from internal teams (evaluating necessity and structuring next steps).

Job Responsibilities & Scope

**1. Initial Point of Contact for Daily Governance Guidance:**Act as the first line of consultation for inquiries coming from various divisions and field operations regarding proper operational procedures. You will review these requests at an early stage against internal regulations and rules to provide clear directional guidance. Any complex, external legal issues will be escalated to the Legal Manager.

**2. Operational Support for Board Meetings & Decision-Making:**Consolidate, review, and evaluate proposals and reporting items intended for the Board of Directors. You will determine the appropriate approval path—evaluating whether an issue requires referral to the Board or a committee, or if it can be processed through standard executive approvals.

**3. Framework Development & Process Improvement:**Participate in establishing and refining internal organizational mechanisms that are currently being built, such as the internal whistleblower program and compliance frameworks.

Must-Have Requirements

1. Corporate & Operations Experience: Hands-on experience in areas such as Corporate Planning, Business Planning, General Affairs (Board of Directors / Shareholder Meeting operations), Legal Affairs, Internal Controls, or PMO within a commercial company, non-profit / foundation, public agency, or consulting firm. Proven track record of managing cross-functional projects across multiple departments.
2. Foundational Knowledge of Corporate Governance & Legal Frameworks: A solid understanding of basic organizational governance rules and regulations (e.g., Companies Act, General Incorporated Associations Act). Article-level legal precision or a law degree / attorney qualification is not required.

Position Context: Role within Internal Controls (Professional)

Final legal judgments and compliance oversight ("controls and guardrails") remain the responsibility of the Legal team (Legal Manager). This position is not intended to act as a restrictive control function; rather, it sits close to operations and the Secretariat to identify issues early, facilitate solutions, and drive initiatives forward.

By separating the control function (Guardrails) from the drive & coordination function (Execution & Alignment), our internal control architecture is designed to operate with both agility and effectiveness.

We currently operate out of a spacious office and research facility of over 1,000 m² located in the Ryutsu Center area. In this space, our business teams and engineering teams work in close collaboration, advancing both day-to-day operations and R&D with AI robots always close at hand. The facility is frequently visited not only by members of the AI Robot Association, but also by engineers and researchers from partner companies and representatives from member companies. As a result, it serves as a hub where diverse experts at the forefront of AI and robotics gather and interact.
