Requirements
  • A bachelor's degree in business administration, engineering, administration, general, or a related field and two years of complex administrative support experience, or equivalent education and experience.
  • Ability to exercise independent judgment and handle confidential matters and materials with discretion.
  • High proficiency in Microsoft Office Suite, including Word, Excel, and Outlook, and Google Suite products.
  • Ability to communicate professionally, clearly, and empathetically in oral and written communications, one-on-one and in groups.
  • Initiative, strong attention to detail, and an organized approach to work.
  • Ability to work independently and as both a member and leader of a team.
  • Ability to problem-solve, take initiative, set priorities, and handle multiple projects efficiently and effectively.
Responsibilities
  • Coordinate faculty requests and academic appointments, including sabbaticals, leaves of absence, part-time, affiliate, adjunct, extension, tenure-track, junior faculty, and emeritus appointments.
  • Alert faculty to college and university due dates for Academic Human Resources matters.
  • Oversee departmental merit review and peer review processes, including timelines, meetings, materials, edits, and completion.
  • Coordinate the department's promotion and tenure process, including timelines, recommendation letters, promotion and tenure packages, policy compliance, and coordination with the Dean's office.
  • Coordinate Visiting Scholar and academic staff appointments, including visa applications, appointment packets, approvals, and office-space coordination.
  • Oversee visa application and renewal processes for international faculty, visiting scholars, visiting scientists, and postdoctoral researchers, including J-1, H-1B, F-1 Optional Practical Training, and permanent residency matters.
  • Communicate new and renewed appointments with the College of Engineering, department payroll coordinator, and department staff.
  • Maintain schedules and timelines for Chapter 24 renewals, sabbaticals, peer teaching evaluations, and promotion and reappointment processes.
  • Assist the Chair in recognizing and rewarding community instructors and other department contributors.
  • Maintain academic Human Resources documents and links on the HCDE intranet.
  • Design, develop, and maintain filing systems in accordance with the General Records Retention Schedule.
  • Maintain and update confidential personnel files for faculty, research associates, visiting scholars, and other academic staff.
  • Establish procedures and interpret college and university policies to complete assigned work and assist the Chair and department.
  • Coordinate and manage faculty searches, including search committee appointments and hiring plans.
  • Assist faculty in finalizing recruitment advertisements.
  • Submit and maintain recruitment searches in Interfolio.
  • Prepare and submit national advertising and assist search committees with letter requests, interview schedules, onsite interviews, and travel reservations.
  • Assist the Chair in preparing offer letters and hiring paperwork, including hire materials and visa requests when necessary.
  • Act as liaison between the Chair and University and College officials, faculty, students, staff, industrial and governmental contacts, and the public.
  • Provide direct administrative support to the Chair by managing email and incoming documents, prioritizing materials, and composing, editing, and typing correspondence and confidential materials.
  • Screen inquiries for the Chair and respond using independent initiative and discretion as appropriate.
  • Carry out special projects and prepare background information related to the Chair's professional commitments.
  • Maintain the Chair's calendar and establish scheduling priorities.
  • Meet with the Chair to plan and coordinate department activities, events, and development; communicate priorities and deadlines; formulate recommendations; solve problems; and monitor ongoing projects.
  • Provide clerical support for the Chair, either personally or by delegating work to other staff and monitoring quality.
  • Assist the Chair with faculty relations, including scheduling workload planning meetings, peer teaching evaluations, faculty meetings, retreats, workshops, visiting faculty meetings, and follow-up actions.
  • Schedule and attend faculty meetings, take minutes, identify action items, and coordinate follow-up.
  • Prepare and submit meeting notifications to the Public Records Office.
  • Prepare, distribute, and post digital meeting agendas, materials, and minutes on the HCDE intranet.
  • Schedule and manage EAB meetings, calendars, emails, website content, agendas, and Google Calendar.
  • Maintain faculty teaching and committee preference spreadsheets with the Chair and Associate Chairs.
  • Coordinate advisory board meetings, maintain member rosters and contact information, correspond with committee members, and support agendas and minutes.
  • Attend department, college, faculty, staff, manager, Chair's Assistant, and other programmatic meetings.
  • Participate in staff employee recruitment as applicable.
  • Organize files in Google, SharePoint, and related systems in the Chair's office.
  • Coordinate the fall and winter HCDE 521 series, including speaker advertising, presentation videos, parking, and lunch reservations.
  • Enter routine updates to the HCDE website and intranet.
  • Maintain and back up Mailman lists on the University web server and distribute quarterly information to mailing lists and current faculty.
  • Coordinate quarterly instructor email updates with staff, the Associate Chair of Learning, and the Chair.
  • Assist the Chair with advancement-related administrative functions, including interactions with donors and University advancement offices.

  • Knowledge of Workday and Interfolio.
  • Knowledge of University of Washington Academic Human Resources policies and procedures.
  • Knowledge of University of Washington ISO policies and procedures.
  • Familiarity with the University of Washington Faculty Code.
  • Experience in event planning and execution.
