Requirements
  • A bachelor's degree in marketing, communications, business administration, or a related field, or three to five years of related experience and/or training, or an equivalent combination of education and experience.
  • Experience supporting marketing, communications, or project coordination functions is strongly preferred.
  • Computer skills using Microsoft Word, Excel, PowerPoint, the internet, and internal and external email.
  • Ability to maintain confidentiality and adhere to organizational policies, corporate compliance and integrity guidelines, and HIPAA guidelines.
Responsibilities
  • Provide administrative and operational support to the Marketing team.
  • Manage communications and requests from internal clients within the organization.
  • Maintain Marketing team calendars and arrange complex departmental events.
  • Support budget tracking, billing processes, financial coordination, expense submissions, check requests, and invoice signatures for marketing initiatives.
  • Serve as timekeeper for the Marketing Department.
  • Track engagement events such as corporate sponsorships, including securing attendees at sponsorship tables.
  • Manage departmental contracts and agreements and correspond with the legal department.
  • Support intake and tracking of marketing requests, including routing, prioritization, and follow-up.
  • Gather data and independently compose complex correspondence and reports for the senior director; research and update department documents.
  • Participate in interdepartmental projects requiring complex project coordination and independent judgment.
  • Provide complex administrative support and project coordination for the senior director and other management members as needed.
  • Manage inquiries received by phone, email, and in person, direct them to appropriate parties, and respond to routine inquiries.
  • Coordinate meetings, calendars, travel, and logistics to support team productivity and project execution.
  • Prioritize and plan work activities and follow up as needed.
  • Interact professionally with executives, board members, employees, and outside organizations.
  • Schedule and collect materials for appointments, meetings, conferences, and telephone calls.
  • Assist with special projects supporting the Marketing Team.
  • Order office supplies and equipment using the online ordering system.
  • Perform general assistant duties including copying, faxing, filing, and taking minutes.
  • Manage postal accounts, incoming mail, deliveries, and outgoing overnight or special shipments.
  • Manage the Marketing team cell phone account and coordinate phone requisitions, repairs, and other information-systems-related requirements.
