Requirements
  • A bachelor's degree or an equivalent combination of education, training, and experience is required.

Responsibilities
  • Assist with administration of the Extensis 401(k) Retirement Savings Plan, including operational and compliance activities.
  • Coordinate the new business implementation process with the plan recordkeeper, from the introductory call through the final transfer of plan assets.
  • Monitor and facilitate participant enrollments, loans, and distributions with the plan recordkeeper.
  • Ensure timely and accurate transfer of payroll, participant contribution, and enrollment files through the Application Programming Interface.
  • Conduct periodic data audits and reconciliations between ExtensisHR and the recordkeeper, and make corrections and adjustments in the human resources information system as needed.
  • Provide consulting and subject matter expertise to prospective client adopters in partnership with the Financial Advisory Team.
  • Assist internal departments with client-related 401(k) questions and document client interactions in the client database system.
  • Assist with annual nondiscrimination testing, including responding to client questions and preparing annual census files.
  • Review, interpret, and maintain plan documents, adoption agreements, amendments, and restatements at the plan administrator and adopter levels.
  • Enter and maintain adopter-level plan details in the human resources information system.
  • Remain current with laws and regulations governing retirement plan administration.
  • Ensure effective and timely communication of periodic and required plan regulatory information to adopting employers and plan participants.
  • Collaborate with the ERISA committee and internal stakeholders to identify, troubleshoot, and resolve plan- or participant-level issues.
  • Update materials, procedures, and instructions and distribute them to staff as required.
  • Establish work objectives and priorities to perform work cost-effectively.
  • Recommend changes to procedures, forms, and checklists to reduce account errors, increase productivity, and improve the client experience.
  • Use and understand artificial intelligence tools and technologies ethically and effectively to enhance productivity, decision-making, and performance.
  • Perform additional responsibilities as assigned to support efficient department and organizational operations.
