EHR Healthcare Administrator
About the job
- Three to five or more years of experience in healthcare administration, human resources or staffing compliance, or contract operations, ideally within healthcare information technology staffing, consulting, or a related regulated industry.
- Working knowledge of Health Insurance Portability and Accountability Act compliance requirements and Business Associate Agreements.
- Experience with worker classification across W2, 1099, and contractor/vendor models.
- Experience coordinating background checks and drug screening, ideally in a healthcare or hospital-adjacent context.
- Strong contract administration skills, including managing Master Service Agreements, Statements of Work, and vendor agreements.
- Exceptional organizational skills and high attention to detail, with the ability to serve as the single point of accountability for compliance documentation.
- A bachelor's degree is required.
- Execute and track Client Master Service Agreements, Statements of Work, Independent Contractor Agreements, C2C vendor agreements, and W2 employment agreements.
- Maintain and manage the Epic Vendor Access Approval process and other vendor-specific credentialing requirements.
- Ensure the division maintains an active HIPAA Business Associate Agreement and remains current on HIPAA compliance obligations.
- Track and manage general liability, professional liability, and cyber liability insurance requirements.
- Manage background check and drug screening processes for consultants before client placement, following hospital and health system requirements.
- Support correct worker classification across the W2, H1B, 1099, and C2C staffing model, and flag compliance risks where classification is ambiguous.
- Coordinate with legal and immigration support on H1B compliance requirements, including USCIS filings and prevailing wage documentation, for long-term specialized placements.
- Maintain a centralized system of record for contracts, compliance documentation, and screening results.
- Build and maintain repeatable documentation templates and checklists as the division scales.
- Ensure all compliance files remain audit-ready.
- Coordinate across Sales/Business Development, Recruiting, and clients so compliance and paperwork do not delay placements.
- Support onboarding logistics for new W2, 1099, C2C, and H1B consultants in coordination with recruiting.
- Contribute to building supporting systems, including contract management tools and HIPAA-compliant communication platforms.
- Familiarity with EHR vendor credentialing processes, such as Epic Vendor Access Approval.
- Experience in a healthcare IT staffing or consulting environment.
- Familiarity with contract management systems, applicant tracking systems, or payroll systems such as ADP.
- Healthcare administration or business as a bachelor's degree field is a plus.
