Responsibilities
  • Answer incoming internal and external calls in a warm, pleasant, and professional manner.
  • Relay all messages promptly to the intended person.
  • Maintain the current visitor log.
  • Greet visitors, residents, family members, and associates warmly and invitingly by phone and in person.
  • Keep reception areas clean, hospitable, and inviting.
  • Ensure compliance with concierge team standards and first-impression captain standards throughout the community entrance, from the driveway entrances through the lobby.
  • Create and maintain resident face sheets using the Yardi system, including entering resident information and uploading resident photographs.
  • Update resident face-sheet information as it changes and distribute updated face sheets to all appropriate locations.
  • Maintain current resident face sheets in the Van Book, Resident Medical Record, Business Office File, and Emergency Book.
  • Enter resident assessment data into the Yardi system as directed by the Executive Director and Director of Resident Care.
  • Enter all received work orders into the Direct Supply TELS system.
  • Report issues or concerns related to an inviting environment and hospitable atmosphere to the First Impressions Captain, Director of Maintenance, and Executive Director.
  • Maintain a show-ready appearance throughout the driveway entrances, roadway to the community entrance, front porch and entry, lobby, hospitality room, and reception area.
  • Maintain knowledge of the community, its benefits, services, residents, and associates.
  • Assist the Director of Community Relations and/or Director of Sales with inquiries when necessary.
  • Assist the Business Office Manager with administrative support, including the Executive Director credit-card summary, petty-cash maintenance and reconciliation, Yardi deposits, checkbook maintenance, the month-end purchase journal, and accounts payable data entry.
  • Offer refreshments to visitors and make them feel welcome and comfortable.
  • Protect residents' privacy when interacting with residents and family members.
  • Coordinate appointments for resident transportation, hairdressing, and other services, while maintaining accurate records of related resident charges.
  • Collect residents' mail and prepare it for distribution.
  • Receive and send community packages.
  • Prepare community brochure packets as needed and maintain an adequate supply at the reception area.
  • Maintain professional interactions and decorum in the lobby area.
  • Assist the Executive Director and other departments with additional administrative duties assigned by the supervisor.
  • Follow company guidelines for proper computer usage.
  • Wear the required professional uniform.
  • Attend required community meetings and participate in Life Enrichment activities when able.
  • Complete all required courses in adherence with HRA University.
  • Report a missing person using the Safe Return program or equivalent when required.
  • Follow fire-evacuation procedures.
  • Help maintain a safe and secure environment for all community residents.
Desired Qualifications
  • Knowledge of Microsoft Office applications is preferred.
