The Opportunity
Flock Safety is looking for an Order Management Administrative Specialist to join our accounting team. This role will oversee admin processes related to billing and collections to ensure exceptional customer service, accurate and timely customer billing, and predictable payments. This role requires the candidate to be extremely organized and have a keen eye for detail to spot any issues that may arise, and to prioritize the month end timeline.
The Skillset
2 years of experience in AR/Order Management (legal, professional, or SaaS experience preferred)
Ability to collaborate with both internal and external customers
Provide administrative support to internal and external customers
Manage competing deliverables and adhere to timelines
Complete Vendor forms for compliance, payment up dates and lien waivers
Understand legal language/notary requirements
Secure COI documentation for clients
Update new vendor documents for new clients
Assist in Cash Applications and Customer Refund Processes
Maintain accounts receivable files and records
Additional ad hoc projects and tasks as assigned

The First 30 Days
Gain an understanding of the workflows relating to billing and cases and the reporting upon which we rely to make sure these workflows are “working”.
Gain an understanding of the company’s products and services, customer contractual terms and payment terms, identifying language on lien waivers and COI requests.
Go through the training materials and source training through LinkedIn learning.
The First 60 Days
Get comfortable with working through your case queue.
Start gaining an understanding of the customer’s needs.
Be able to answer most questions that come into your queue or via slack.
Start answering occasional inbound calls for the billing team and understand how to effectively handle the concerns and transfer to appropriate person/department.
90 Days & Beyond
Thorough understanding of vendor and customer requirements.
Ability to navigate case history and gather support information as needed by your manager.
By now you are working independently to resolve customer case and order issues and engaging internal stakeholders as necessary.
Understand the case assignment and escalation process. Work to hit SLAs.
Be able to provide feedback on ways we can improve.

The Panel: Learn more about the team, responsibilities, and workflows. You should be prepared to speak about past projects, how you collaborate and communicate with others, and how you live our values. Depending on the team and role you are interviewing for, you may meet with several teammates as well as cross-functional partners.
Salary & Equity
In this role, you’ll receive a starting salary between $70,000 and $80,000 as well as Flock Safety Stock Options.

At Flock Safety, we compensate our employees fairly for their work. Base salary is determined by job-related experience, education/training, as well as market indicators.
