Responsibilities
  • Assist and support the Clinic Manager in overseeing clinic operations.
  • Direct and supervise patient flow and program maintenance.
  • Ensure adherence to policies and standards, quality control, staffing, employee training and counseling, inventory, and facility maintenance.
  • Directly supervise the Lead Patient Service Representative and delegate responsibility for patient-service operations.
  • Ensure Patient Service Representatives use Well, run Pointcare for all SFS patients, refer to CEC as needed, print in-case reports, complete chart preparation accurately, and collect accurate demographic information.
  • Ensure standards for Patient Service Representative errors are met.
  • Ensure all shifts are appropriately staffed.
  • Monitor patient schedules and ensure all appointment slots are booked.
  • Decrease voided encounters.
  • Follow up on and reschedule no-shows and canceled appointments according to policy.
  • Improve primary care provider continuity schedules.
  • Interview and evaluate staff and advise on or perform corrective actions.
  • Assist in coordinating the clinic and ensure excellent customer service.
  • Orient new hires to the clinic, including site tours, introductions to coworkers, equipment locations, and relevant staff functions.
  • Oversee job assignments, lunch schedules, and work schedules for back- and front-desk staff, recommending changes as needed.
  • Approve employee time and attendance for payroll.
  • Assist with daily productivity reports and cycle-time testing, and maintain and update back- and front-office skills.
  • Enter appointment schedules into the system for appointment availability.
  • Assist the Clinic Manager with audits, triannual assessments, HIPAA and safety walk-throughs, report completion, weekly Operations Matrix supervision, staff interviews and evaluations, and disciplinary actions.
  • Ensure information and procedures are communicated between shifts and instructions are followed.
  • Provide support and guidance to staff.
  • Complete the weekly Operations Matrix Report in a timely manner.
  • Monitor the check-in process and patient flow and facilitate systems to reduce waiting time from the front office to providers.
  • Assist in resolving patient and staff complaints and serve as a patient advocate.
  • Manage building security, including arming and disarming the alarm system and locking all facility doors and areas.
  • Collect and secure all money collected.
  • Assist with quality assurance of front- and back-office policies and procedures.
  • Cover staff positions when needed.
  • Maintain stock and order clinic and managed-care program literature.
  • Order and maintain office supplies as needed.
  • Maintain overall facility cleanliness.
  • Report unusual occurrences to the Clinic Manager.
  • Manage provider productivity.
  • Find provider coverage to reduce uncovered clinic hours.
  • Monitor and minimize staff overtime.
  • Monitor patient cycle time.
  • Review patient records to ensure all chart documents are completed.
  • Ensure patient laboratory results are entered into NextGen and followed up on promptly.
  • Submit proper reporting forms to Administration in a timely manner.
  • Enhance professional growth and development through educational programs and current literature.
  • Ensure patient encounters are coded and completed in a timely manner.
  • Review in-service meetings and workshops with Patient Service Representatives to communicate updates promptly.
  • Support the organization's vision, mission, goals, and values.

Since 2021, the City of Vista has launched multiple programs as an effort to increase community engagement in the Tree Giveaway Program, Vista Green Business Network, and the E-Bike Safety Training and Rebate Program. With the increasing popularity of e-bikes and active transportation, it is essential that riders have the necessary knowledge and skills to ride safely, especially in Vista's complex transit landscape. From 2022 to 2024, the City of Vista experienced an increase in the number of accidents involving pedestrians and cyclists. In response to safety concerns throughout the community, the City of Vista launched its E-Bike Safety Training and Rebate Program in 2024. The educational training component of the program is funded in part by a grant from the California Office of Traffic Safety (OTS). This initiative promotes safe and sustainable transportation options while enhancing rider safety and reducing environmental impact. In partnership with the San Diego County Bicycle Coalition, the City offers three-hour city cycling classes, which consists of a classroom-style lesson on e-bikes and the rules of the road, behind-the-handlebars training, and a community ride. Eight city cycling lessons were hosted by the City of Vista from May to October 2025, with over 170 residents participating and over 200 helmets given away. The City of Vista also approved over 40 rebates for residents to increase access to e-bike ownership. "My 14-year-old son and I took the Vista E-Bike Safety Training last year," said Kristina Geno, City of Vista resident and Vista Unified School District parent. "While he needed the course to earn his school bike permit, I found it incredibly informative from a driver's perspective as well. The instructors were personable and shared their extensive knowledge along with valuable firsthand experience. I truly believe everyone would benefit from taking this class." The City of Vista is committed to promoting Live Well San Diego's vision of a safer and healthier region by increasing education, street safety awareness, and opportunities to participate in active transportation. The E-Bike Safety Training and Rebate Program has returned in 2026 due to a grant awarded by OTS. Vista Community Clinic receives $3.5M grant for Dad's Club program.
