Requirements
  • Two years of administrative experience or a Bachelor of Science or Bachelor of Arts degree.
  • Experience working in databases and using marketing and media communication platforms, including web, email promotion, and digital or traditional marketing materials.
  • Ability to calculate basic financial figures and amounts, including commissions, deposits, interest, and percentages.
  • Ability to learn and adapt to new software, platforms, technology, and artificial intelligence tools; fluency with artificial intelligence tools for content drafting and production workflows is expected.
  • Professional computer skills, including Microsoft Excel, Word, Outlook, and internet or application software.
  • High-level data-entry skills.
  • Administrative organization and ability to multitask in a fast-paced setting.
  • Professional-level written and verbal English communication skills, including the ability to represent the company professionally with a customer-service focus.
  • Ability to work independently with minimal direction or supervision.

  • Ability to successfully pass a pre-employment post-offer drug screen and background check.
Responsibilities
  • Draft and send listing agreements, letters of intent or offer letters, commission agreements, lease agreements, and purchase and sale agreements for execution through DocuSign, track execution status, and complete the appropriate post-execution checklists and processes.
  • Assist in creating collateral such as property brochures, market surveys, market tours, proposal packages, and business-development initiatives.
  • Enter transactions and required documentation into the company's in-house customer relationship management system, create and send commission invoices, and process payments.
  • Create and send sales-team invoices and collaborate with the legal team on letters for past-due invoices.
  • Maintain current and future client and deal folders and the company database, ensuring information, files, and accessibility remain orderly.
  • Track deal progress and deal flow with the team through pipeline reports and tracking spreadsheets.
  • Perform market research for general information, comparable properties, tenant write-ups, and related needs.
  • Assist with demographic maps, aerials, target-area maps, and reports using Regis, Environmental Systems Research Institute, and/or CoStar.
  • Assist with marketing projects, including coordinating and creating direct mailings and electronic blasts, ordering property signs, booking property photographs and drone videos with vendors, and preparing executive summaries, brochures, placemats, pitch packages, market and tenant-representation packages, and press releases.
  • Ensure listings are properly displayed on required websites and advertising outlets, including the company website, LoopNet, CoStar, and Crexi.
  • Type and support the production of correspondence, memoranda, charts, tables, graphs, and site plans; proofread copy for spelling, grammar, and layout and make appropriate changes to ensure accuracy and clarity.
Desired Qualifications
  • Beginner or intermediate knowledge of Adobe Creative Suite, including InDesign and Illustrator; Photoshop and Acrobat Pro are a plus.
  • A real-estate license or prior real-estate experience or coursework.
