  • An Associate degree is required.

Responsibilities
  • Serve as receptionist for the School of Health Sciences and provide customer service to students, faculty, staff, and external partners.
  • Prepare memorandums, correspondence, reports, and other documents.
  • Manage high-volume phone, email, and in-person communications.
  • Distribute incoming and outgoing mail.
  • Use office equipment to copy, scan, and fax documents; coordinate maintenance and supply ordering for office machines.
  • Coordinate shipping and receipt of materials.
  • Assist new students and investigate and resolve issues related to admissions, registration, and program progression.
  • Register students and process enrollment changes, including adds, drops, withdrawals, schedule adjustments, and instructor changes.
  • Move students to alternative courses when necessary.
  • Confirm and update advisor assignments.
  • Maintain cohort tracking and student records for health sciences programs.
  • Serve as liaison between students, faculty, and administrative offices to support student success.
  • Assist with new student communications and orientation activities.
  • Maintain student and faculty files in accordance with accreditation and program requirements.
  • Monitor and track student compliance requirements, including health records, background checks, drug screens, and immunizations.
  • Send reminders and communications regarding compliance deadlines and deficiencies.
  • Maintain spreadsheets and databases for compliance tracking and reporting.
  • Verify licensure and certification requirements for applicable programs.
  • Process and maintain data in College systems, including registrations, course updates, and program changes.
  • Maintain and update spreadsheets and databases related to enrollment, compliance, faculty records, and program operations.
  • Assist with data collection, surveys, and reporting for accreditation and program evaluation.
  • Enter and track certification and licensing testing results in designated systems.
  • Assist Program Chairs and the Dean with accreditation data collection and reporting.
  • Maintain faculty records, including credentialing and required documentation.
  • Assist with adjunct faculty onboarding, orientation, and tracking of required materials.
  • Collect and compile adjunct and overload contract information for submission to Human Resources.
  • Maintain faculty gradebooks and attendance records as requested.
  • Coordinate and support School of Health Sciences events, including informational sessions, orientations, advisory board meetings, and campus visits.
  • Prepare event materials, schedule logistics, and assist with event setup and execution.
  • Attend meetings and record, transcribe, and distribute minutes.
  • Assist with student tours of health sciences labs and outreach activities.
  • Prepare purchase requisitions for supplies, equipment, food, and other program needs.
  • Maintain appropriate inventory levels for office and instructional supplies.
  • Assist with budget tracking and expense documentation.
  • Facilitate ordering, receiving, unpacking, and distribution of supplies.
  • Process travel forms, work orders, and other institutional documentation.
  • Learn and maintain proficiency in College systems and vendor software.
  • Maintain working knowledge of emerging technologies related to administrative systems.
  • Participate in approved training and professional development opportunities.
  • Perform other duties logically associated with the position as assigned.
Desired Qualifications
  • Experience in a higher education or healthcare setting.
  • Familiarity with student information systems such as Banner and compliance tracking systems.
  • Experience supporting simulation labs or technical learning environments.
