Requirements
  • A high school diploma or General Education Degree (GED) is required.
  • Two years of business office experience are required.
  • Proficiency operating a computer, the Internet, Microsoft Office, relevant software, and basic office equipment is required.
  • A valid driver's license is required.
  • The candidate must be able to read, write, understand, and speak English.
  • Strong interpersonal and communication skills are required.
  • The candidate must be highly motivated to assist with and ensure the well-being of residents.
  • The candidate must adhere to all terms and conditions in the United Church Homes Employee Handbook.
Responsibilities
  • Assist with management of the applicant waiting list by updating the list and sending letters to prospective applicants to keep the list current.
  • Coordinate the move-in process and update all related information and notifications.
  • Update information after residents have moved out.
  • Coordinate the annual recertification process, including income and eligibility re-verification, for all residents.
  • Update the Enterprise Income Verification book.
  • Collect rent from residents and make daily bank deposits.
  • Process invoices for payment.
  • Assist the Housing Manager with development of the upcoming yearly operating budget, which is ultimately set and approved by the Regional Manager.
  • Coordinate information and paperwork for Special Claims submission by the Housing Manager.
  • Coordinate information and paperwork for Reserve for Replacement requests submitted by the Housing Manager.
  • Coordinate and send reports and data required by the Central Office and the United States Department of Housing and Urban Development.
  • Keep the facility management office well organized and properly maintained.
  • Answer incoming phone calls.
  • Request guidance and training from the Manager or Regional Manager as needed.
  • Develop and implement emergency procedures and evacuation plans under the direction of the Housing Manager.
  • Maintain emergency contacts, including voicemail and answering service contacts.
  • Maintain emergency contact numbers for residents, police, fire department, and medical facilities as needed.
  • Receive and maintain work order requests for apartment, common-space, structure, and grounds repairs and maintenance, ensuring a response time of 24 hours.
  • Coordinate maintenance contracts for review by the Housing Manager and approval by the Regional Manager.
  • Assist with yearly apartment inspections as needed.
  • Maintain professional working relationships among staff, applicants, guests, residents, and residents' families.
  • Assist with implementing the Resident Satisfaction & Valuation Program and respond to resident concerns in a timely manner.
  • Assist with encouraging the development of social programs for residents.
  • Plan and organize monthly resident activities.
  • Maintain a monthly newsletter and calendar of events for residents.
  • Understand and uphold Fair Housing laws and the Affirmative Fair Housing Marketing Plan.
  • Work with the Housing Manager to maintain a 95% to 100% occupancy rate.
  • Assist with reviewing staff timesheets for accuracy.
  • Submit forms to the Human Resources department as needed and in a timely manner.
  • Perform all other duties as assigned or directed.
