Salary Range: 65000 to 75000 (Currency: USD) (Pay period: per-year-salary)
As a People Operations Coordinator, you will be a member of our newly created global People Operations team, supporting employees throughout their full lifecycle including but not limited to onboarding, offboarding, benefits administration, creating and maintaining personnel records, employment changes in our Human Resource Information System (HRIS), and supporting with ad hoc people-related inquiries. You will also act as a strategic partner to your People Partner colleagues supporting the US & Canada and you will work very closely with stakeholders in our US & Canada group companies.
You will be part of a People team that is supporting and collaborating with all our Cision group offices around the world. You are detail-oriented, comfortable leading a team and developing relationships with relevant stakeholders, and not intimidated by systems or data. What you’ll do
- Coordination and processing of people-related data and documentation related to but not limited to onboarding, offboarding, payroll, contract extensions, and benefits for the US & Canadian markets.
- Manage employee lifecycle processes such as onboarding, offboarding, contract extension and changes, right-to-work checks, leave management.
- Organize, maintain, and ensure the accuracy of personnel records within the HRIS, payroll, and benefits platforms.
- Provide a first-class level of support to employees based in the US & Canada, across Cision and Brandwatch, by helping to manage a People team inbox and responding to employee inquiries in a timely manner.
- Work closely with our internal payroll team to collate and manage accurate and timely data before each pay cycle.
- Engage with Talent Acquisition partners and IT to ensure procurement of IT equipment is issued for new starters in a timely fashion.
- Conduct/ facilitate pre-employment reference checks liaising with a third-party vendor.
- Work with the global People Operations HRIS team to conduct mass uploads into the system as needed.
- Support the People Partners with general administration and special projects as needed.
- Liaise with the global People Operations reporting team to obtain data and insights as needed.
- Regularly update the People knowledge hub (intranet) consisting of various employee forms, policy, and FAQ documents.
- Regularly review and maintain minimum wage requirements across all state locations by conducting audits on employee pay, updating minimum wage rates as necessary, and running monthly reports to implement updates.
- Process monthly accruals for hourly employees through a manual upload within the HRIS time management module, ensuring accurate accrual tracking.
- Approve pending time-off requests prior to payroll processing to ensure accurate timesheets and overtime calculations.
- Audit and review timecards for non-exempt employees to identify and correct issues such as incorrect overtime coding, improper straight-time hours within a workweek, excessive straighttime, and incorrect holiday coding.
- Generate timesheet reports each pay cycle to identify unapproved timesheets and send reminders to managers to approve pending timesheets before payroll closure.
- Manage the setup and removal of phone stipends within the HRIS, ensuring all actions are completed prior to payroll closure.
- Prior to each pay cycle, manually import time off from Start Center into UTM to ensure accurate overtime calculations for Bulletin employees.
What you have
- Outstanding written and verbal English communication skills.
- Minimum 2-3 years prior experience in similar role or field of work.
- Excellent MS Office Suite skills and experience.
- Experience with UKG is a plus.
- Detail orientated and have a structured approach to your daily tasks.
- Comfortable working with data, numbers, and formulas within Excel, including functions like
- Pivot tables, VLOOKUP, etc.
- Confident with HRIS and employee data management systems.
- Eager to work in a global team and lean in to support other employee groups as needed.
- Service-minded, ‘Can do’, problem-solving attitude to both small and big tasks.
