Requirements
  • High school diploma or GED equivalent.
  • At least three years of experience providing legal administrative support, preferably in energy and litigation.
  • A certificate or college degree in an administrative assistant, legal assistant/secretary, or paralegal program, or a related field, may substitute for one year of work experience.
  • Ability to maintain confidentiality of personally identifiable information, personal health information, and attorney-client privileged information.
  • Ability to prioritize responsibilities, coordinate resources to meet deadlines, multitask in a high-pressure environment, work independently and collaboratively, solve problems, take initiative, and follow through.
  • Strong organizational, grammar, proofreading, attention-to-detail, interpersonal, client-service, verbal communication, and written communication skills.
  • Proficiency in reading, writing, and verbal communication in English.
  • Ability to type at least 60 words per minute.
  • Proficiency with common office applications, including Microsoft Office and Adobe Acrobat.
  • Ability to operate telephones, personal computers, photocopy equipment, and other office equipment; read handwritten and typed instructions; use firm software applications; proofread accurately; record and deliver phone messages; and carry files for short distances.
  • Ability to type while sitting or standing for extended periods during a 7.5-hour workday.
  • Prompt, regular, and predictable attendance.
Responsibilities
  • Prepare template pleadings and other legal documents; coordinate document production; revise and format pleadings and other legal documents; file and serve pleadings in federal, state, and appellate courts, state public utility commissions, and federal administrative proceedings; and coordinate attorney and court working notebooks.
  • Keyboard correspondence and legal documents and forms from transcription, handwritten drafts, or notes; apply track changes, formatting, and styles; proofread, format, edit, label, and redact documents; transcribe voicemail messages and attorney dictation; and compare documents using document comparison software to produce redline comparisons.
  • Enter, proofread, and close timekeepers’ time entries in billing software; review, distribute, and track pro formas and client invoices; manage complex pro formas; research and resolve billing questions; and process expense reports and invoice disbursement requests.
  • Communicate with clients and outside counsel by phone and email; obtain client signatures on legal documents; coordinate client travel for meetings and hearings; and coordinate client holiday cards and gifts.
  • Provide coverage for the practice assistant team during heavy workloads and absences; delegate and coordinate projects with support departments; assist coworkers and timekeepers with technology or firm-procedure questions; and participate in team meetings.
  • Scan, copy, fax, print, and organize documents; request and review conflicts reports; open new clients and matters in the firm’s electronic records system; maintain electronic and physical files; retrieve documents from document management systems and hard-copy files; prepare and maintain notebooks; and transmit large electronic files through a secure file-sharing website.
  • Maintain timekeepers’ calendars and monitor docketing deadlines; review documents and correspondence for deadlines and important information; maintain Outlook and InterAction contacts and working lists; distribute mail; schedule meetings and conference-room and lunch reservations; track Continuing Legal Education credits and prepare compliance reports; submit business-development and professional-development expense requests; answer phones and relay messages; arrange travel; update the practice-group intranet page; and comply with firm policies.
  • Perform other duties as assigned.
Desired Qualifications
  • Experience providing legal administrative support in energy and litigation.
  • Experience with law firm software such as iManage, Visio, Emburse, Carpe Diem, Aderant, Intapp, Maptician, Box, Workshare Compare, Metadata Assistant, WestlawNext, WestCheck, and InterAction.
  • Familiarity with state and local government structure.
  • Familiarity with state and federal court procedures and electronic court filing.
  • Basic understanding of accounting.
